About The Position

The HR Administrator works closely with all members of the Human Resources team to support the administration of key HR functions, including assisting employees with work-related questions and concerns, providing recruitment support, managing personnel data, conducting compliance audits, and performing special projects. This role serves as the primary first point of contact for new hires and is responsible for delivering a positive and consistent onboarding experience, as well as coordinating offboarding processes to ensure a smooth employee transition. The HR Administrator supports the ongoing employee experience by responding to HR-related inquiries, collaborating cross-departmentally to ensure effective communication and alignment, consistently enforcing company policies and practices, and contributing to the continual improvement of HR processes, departmental efficiency, and service delivery.

Requirements

  • Bachelor's degree required.
  • 2+ years professional HR experience preferred
  • Demonstrates solid understanding of HR policies and procedures, compliance requirements and ever-changing state/federal laws.
  • Excellent verbal and written communication skills.
  • Excellent listening and assessment skills.
  • Must have and display good ethics and professionalism.
  • Confidentiality is demanded.
  • Self-starter with strong organizational skills, ability to be self-directed and be able to handle multiple priorities with demanding timeframes and deadlines.
  • Ability to work independently with minimal supervision.
  • Ability to use sound judgment and decision-making skills.
  • Proficiency in using Microsoft Office Word, Excel, Outlook and HRIS software.
  • Ability to work in a fast-paced environment.

Nice To Haves

  • mortgage industry experience a plus.
  • SHRM or PHR Certification a plus.
  • Multi-state human resources experience is preferred.
  • State of California HR knowledge is a plus.

Responsibilities

  • Managing the HR email inbox; responding to staff questions and requests.
  • Sending new hire paperwork (applications, background checks, etc.) to prospective employees.
  • Onboarding new employees.
  • Drafting HR templates and documents (e.g. offer letters, separation letters, PARFs).
  • Performing I-9 ID verification meetings with new recruits.
  • Maintaining working partnerships with hiring managers and employees.
  • Maintaining employee personnel records.
  • Processing payroll updates (PARFs-promotions, pay raises, department transfers, etc.).
  • Managing direct deposit accounts.
  • Generating employee data reports.
  • Completing third party employment verifications.
  • Responding to unemployment insurance claims.
  • Keeping up to date with internal company policies, news, initiatives, and activities.
  • Processing employee terminations, sending exit interviews, and offboarding.
  • Troubleshooting HRIS system errors.
  • Administering job titles, job descriptions, and work locations.
  • Maintaining data integrity between iSolved and SPEAR.
  • Sending semi-monthly timecard reminders for new employees.
  • Maintaining positive employee relations.
  • Collaborating with HR team and other departments on special projects.
  • Protecting privacy of sensitive employee and company data.
  • Performing regular employee data audits for compliance.
  • Maintains I-9 forms and retention process for terminated employees' files.
  • Recommends new approaches and procedures to effect continual improvements in efficiency of the department and services performed.
  • Assists with documenting and maintaining department policies and procedures, as needed.
  • Assists with Federal and State compliance regulations and laws as needed and identified.
  • Performs other related duties, as needed and as assigned.
