About The Position

This is a temporary position providing assistance to the HR team at The Juilliard School, lasting until August 2026. The role reports directly to the Associate Director of Human Resources, with a dotted line report to the Human Resources Associate & Learning and Development Lead. The Temporary Human Resources Administrator is responsible for daily administrative and HR duties, including assisting with onboarding, record maintenance, and providing administrative and high-level customer service support to all employees. The ideal candidate will embody a warm presence, a mindset of learning, and a sincere joy in helping the HR team and Juilliard employees. This role requires proactivity and follow-through in responsibilities such as completing wage forms, I-9s, credit card reconciliation, paying invoices, budget tracking, data entry in the Cadence system, processing employee payroll changes in ADP, and other related administrative tasks. The pay rate for this role is $23.00-$25.00 per hour.

Requirements

  • A Bachelor’s degree from an accredited institution of higher education.
  • Minimum of 1-2 years’ related experience.
  • Absolute discretion with highly sensitive and confidential HR and payroll information.
  • Excellent organizational, analytical, critical thinking, interpersonal, written and oral communication skills.
  • Keen eye and superior attention to detail and quality assurance.
  • Microsoft Office Suite skills: Word, Outlook, Excel, Power Point, etc.
  • Strong interpersonal and communication skills, ability to interact with a wide variety of people.
  • Collaborative style that encourages teamwork and cooperation beyond the immediate team to the broader organization.
  • Ability to independently identify priorities within multiple assignments in a high-volume, short-deadline environment.
  • Ability to work with diplomacy and efficiency in a high-volume, short-deadline environment.
  • Understanding of the mission of The Juilliard School.

Nice To Haves

  • HR, Hiring, Program Administration, or Payroll experience.
  • Experience using specific Oracle Cloud HCM modules (e.g. Recruiting, Core HR, Time & Labor, Learning, Talent Management).
  • Ability to write and run report queries.

Responsibilities

  • Serve as the first point of contact for walk-ins to the office and calls on the HR extension.
  • Maintain an engaging and welcoming office environment with professionalism.
  • Complete onboarding tasks for new employees, including temporary employees, monitoring background checks, completion of section 2 of I9s, and following up with candidates on missing information.
  • Assist new hires with their onboarding checklists.
  • Process new Overhires, Guests, Faculty Substitutes, Non-Student Accompanists, Hire Juilliard Performers, Mentors, & Apprentices through appropriate onboarding phases and ensure completion of onboarding tasks.
  • Keep spreadsheets up-to-date continuously with appropriate onboarding information.
  • Assist employees with inquiries on timecard entries, PTO balances, and entering time off.
  • Review and approve manager changes in Cadence.
  • Review and approve jury duty and bereavement entries.
  • Support with Benefits inquiries and respond to Benefits tickets as needed.
  • Assist with job postings in the absence of the HR Administrative Assistant.
  • Assist the HR Associate and L&D Lead with the planning and execution of special events.
  • Provide administrative support to the HR department, including data entry in the Cadence system.
  • Complete employment verification letters.
  • Support in responding to HR inbox inquiries.
  • Update employee files, offer letters, resumes/cover letters, discipline, promotions, and other related documents (excluding benefits).
  • Perform other related duties as assigned.
  • Retrieve Cadence information quickly.
  • Respond to walk-ins and triage inquiries.
  • Administer I9s.
  • Support employee events and engagement efforts.
  • Demonstrate an unending commitment to learning and growing practice/expertise.
  • Adhere to various deadlines (payroll, finance, legal, i9).
  • Analyze decisions with forethought to the downstream impact.
  • Document the budget process.
  • Act as a resource for School staff.
