About The Position

Reporting directly to the HR Team Lead, and dotted line into the HR Manager, the Human Resources Administrator will provide administration and coordination support to the Urban Transportation Solutions Human Resources and Operations teams. The Human Resources Administrator is responsible for providing professional, client-centered support within a fast-paced operational environment.

Requirements

  • Post-secondary education with a major in Human Resources or related field
  • Exceptional organization, attention to detail, with the ability to manage multiple clients and deliverables
  • Strong verbal and written communication skills, including the ability to clearly communicate with various audiences, stakeholders and clients
  • Excellent problem-solving skills
  • Strong customer service skills with the proven ability to develop and maintain effective relationships with team members as well as internal and external stakeholders
  • Professionalism and discretion handling sensitive information a must
  • Demonstrated ability using MS Office applications (Outlook, Word, Excel, PowerPoint)

Nice To Haves

  • Experience working in a fast-paced operational environment such as construction is an asset
  • Experience with SAP and Success Factors is an asset

Responsibilities

  • Responsible for ensuring all employee lifecycle transactions are submitted accurately and in alignment with payroll deadlines (e.g., new hires, terminations, benefits, compensation changes, taxable benefits, vacation reconciliation, work permits, and tax documentation)
  • Maintain accurate and up-to-date employee data within HR systems (SAP/SuccessFactors), including processing changes and generating ad hoc reports to support data integrity and decision-making
  • Conduct and support regular data audits and reconciliations to ensure consistency and accuracy across HR, payroll, and projects
  • Serve as a key point of contact for employees, responding to inquiries related to pay, onboarding, and HR processes, and providing clear, timely, and professional guidance
  • Act as a liaison between employees, payroll, pension & benefits, and other internal stakeholders to investigate, resolve, and appropriately escalate inquiries
  • Lead onboarding activities, including development of onboarding plans, facilitation of sector-specific onboarding sessions, and end-to-end new hire setup (e.g., IT access, system onboarding, first-day readiness), partnering with managers, HR, and IS to ensure a seamless onboarding experience
  • Draft employee change offer letters (e.g., promotions, internal transfers, allowances, etc.)
  • Prepare and maintain HR templates and documentation to ensure accuracy, consistency, and compliance
  • Communicate clearly and professionally with internal stakeholders on the status and completion of requests (e.g., documentation, audits, employee change letters)
  • Identify trends or recurring issues and proactively resolve and/or escalate with the HR team to address root causes, contributing to continuous improvement initiatives
  • Provide cross-sector coverage and operational support to the HR Administration team during periods of absences, high volume, or vacation coverage
  • Provide administrative support to ensure HR4HR resources are maintained, and confidentiality of the HR client group is upheld
