About The Position

The Part-Time Human Resources Administrative Coordinator provides administrative, operational, and customer service support to the Human Resources department. The position serves as the primary administrative and budget support resource for Human Resources while supporting the Chief Human Resources Officer (CHRO) with administrative coordination and daily operational needs. The incumbent helps ensure the efficient operation of the Human Resources office and assists the HR team in delivering responsive, high-quality service to employees, applicants, students, vendors, and visitors. The position serves as a welcoming first point of contact and supports a variety of administrative, budgetary, onboarding, records management, event coordination, and departmental operations functions.

Requirements

  • High School Diploma or GED and a minimum of five (5) years of progressively responsible administrative support experience, including experience in an office environment providing customer service, record management, scheduling, budgeting, or operational support.
  • Associate degree from an accredited institution in Human Resources, Business Administration, Office Administration, or a related field and a minimum of one (1) year of relevant administrative or Human Resources experience.
  • An equivalent combination of education and experience may be considered.
  • Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, Teams, and other standard office technology applications.
  • Strong customer service, organizational, administrative, and communication skills.
  • Demonstrated ability to manage multiple priorities, maintain accurate records, and provide effective administrative support in a fast-paced environment.
  • Ability to maintain the highest degree of confidentiality, professionalism, and discretion when handling sensitive employee and departmental information.
  • Ability to work independently while collaborating effectively with Human Resources staff, employees, and other stakeholders.

Nice To Haves

  • Associate degree or higher in Human Resources, Business Administration, Office Administration, or related field.
  • Two (2) or more years of experience supporting Human Resources operations, employee onboarding, personnel records, benefits administration, leave administration, payroll processing, or related administrative functions.

Responsibilities

  • Serves as the primary administrative support professional for the Human Resources department, supporting the CHRO with administrative coordination and daily operational needs while ensuring the Human Resources team is fully supported through efficient office operations, customer service, scheduling, records management, budget administration, and departmental coordination.
  • Serves as the primary budget support resource for the Human Resources department by processing invoices, requisitions, reimbursements, memberships, vendor payments, and purchases; maintaining budget tracking spreadsheets; monitoring expenditures; and assisting with budget-related documentation and reporting for department leadership.
  • Maintains departmental records related to contracts, memberships, subscriptions, vendor services, and purchasing activities.
  • Assists in monitors shared Human Resources inboxes and incoming requests, responds to routine administrative inquiries, and routes requests to the appropriate Human Resources team member.
  • Provides front desk and reception support by greeting employees, applicants, students, vendors, and visitors with professionalism, confidentiality, and exceptional customer service.
  • Coordinates calendars, meetings, appointments, travel arrangements, room reservations, and departmental logistics.
  • Creates, updates, proofreads, and maintains correspondence, reports, presentations, spreadsheets, and tracking documents.
  • Maintains departmental filing systems, electronic records, forms, and administrative documentation.
  • Processes routine Human Resources transactions and provides administrative support for employment verifications, onboarding documentation, organizational updates, educational benefits documentation, contractor and volunteer processing, and personnel record maintenance.
  • Serves as administrative backup support to the Human Resources Consultant and Leave Specialist by distributing forms, collecting and tracking documentation, maintaining records, updating tracking systems, scheduling appointments, and providing administrative support for leave, accommodation, onboarding, and other Human Resources processes.
  • Assists employees by providing forms, process information, and status updates regarding Human Resources services and directs individuals to the appropriate Human Resources team member when additional assistance is required.
  • Supports employee separation processes through administrative coordination, documentation management, and tracking activities.
  • Supports leave, accommodation, workers' compensation, and benefits processes through administrative coordination, document collection, tracking, data entry, and record maintenance.
  • Performs routine data entry and maintains accurate information within Human Resources systems and departmental tracking tools.
  • Assists with maintenance of departmental procedures, forms, templates, and resource materials.
  • Coordinates Human Resources meetings, trainings, hiring events, employee programs, service awards, benefits fairs, and other departmental activities.
  • Assists with procurement of supplies, employee recognition items, accommodation purchases, promotional materials, and other approved departmental purchases.
  • Serves as the primary contact for facilities and maintenance requests affecting Human Resources operations.
  • Assists with maintenance of Human Resources SharePoint, website, and intranet content by coordinating approved updates and identifying outdated information.
  • Assists with the preparation and distribution of recurring departmental reports and maintains tracking spreadsheets and records.
  • Performs other related duties as assigned.
