Reporting to the HR Manager, you will be the operational backbone of a complex, unionized environment. This isn’t a typical "entry-level" admin role; you will support the HR Manager and senior management team in the application of the Collective Agreement, compliance with employment legislation and ensure compliance with internal HR policies.

Requirements

  • Education: A Diploma or Certificate in HR or Business Administration.
  • Experience: At least 2 years of HR experience, ideally within a unionized environment.
  • The "Confidentiality Factor": You have a proven track record of handling sensitive labor relations with absolute discretion and ethical judgment.
  • Tech Literacy: You are proficient in Microsoft Office and HRIS platforms (experience with BambooHR is a major plus).
  • Communication: Clear, respectful communication skills tailored for a diverse, people-centered workplace.

Responsibilities

  • HRIS & Data Integrity: Act as the "Power User" for BambooHR, maintaining personnel records and proactively flagging liabilities to Senior Management.
  • Labor Relations: Prepare sensitive documentation for grievances, labor-management meetings, and collective bargaining.
  • Compliance & Risk: Independently audit mandatory certifications and probationary milestones, ensuring we meet all Employment Standards and OHS requirements. Monitor and audit mandatory certifications, professional standing, and probationary milestones. Identify compliance gaps and initiate formal escalation to Senior Management.
  • Recruitment Strategy: Go beyond the job board—develop confidential interview rubrics and scoring matrices to ensure our selection decisions are robust and defensible.
  • Employee Lifecycle: Lead professional orientations for new staff and volunteers, representing management’s voice regarding organizational policy and workplace conduct. Support the offboarding process for both bargaining unit members and exempt employees voluntary and involuntary departures, including the preparation of sensitive exit documentation. Provide administrative support for performance review cycles, staff engagement, and wellness initiatives.
