About The Position

To support the Human Resources Department in a manner that supports agency goals and maintains compliance with all regulating entities and auditing authorities. This role works closely with the Director of Human Resources, Finance Department, and Agency Staff. The Human Resource Assistant will provide support to the Director of Human Resources as needed, including, but not limited to: Human Resources Information System, employee benefits, full employee lifecycle; assist with training/development maintenance and coordination; serve as an active participant on the administrative team. The role involves answering routine human resources questions, maintaining the Human Resources Information System and personnel records accurately and timely in a confidential manner, assisting with the benefit program, coordinating trainings and professional development, assisting with department projects, background screening requirements, providing guidance on work-related injuries/incidents, processing purchase orders, providing reception back-up, and actively participating in various committees. The position also requires maintaining confidentiality, implementing program/department administration according to standards, collecting data for reporting and evaluation, providing recommendations for process improvements, communicating and working collaboratively, completing administrative duties, ensuring quality assurance and compliance, adhering to agency policies, working a flexible schedule when necessary, attending required trainings and meetings, continuing professional development, and demonstrating an understanding of the agency Performance and Quality Improvement Plan. Special projects and other duties as assigned are also part of the role.

Requirements

  • Associate degree in business or related field with three (3) years of relevant Human Resources experience; five (5) years of progressive Human Resources experience may be substituted
  • Excellent communication skills

  • Ability to manage multiple job tasks with continuously changing priorities
  • Proficiency in Word, Excel, and other computer related tasks

Responsibilities

  • Provide support to the Director of Human Resources as needed, including, but not limited to: Human Resources Information System, employee benefits, full employee lifecycle; assist with training/development maintenance and coordination; serve as an active participant on the administrative team.
  • Answer routine human resources questions from management and staff
  • Maintain Human Resources Information System; ensure personnel records are maintained accurately and timely in a confidential manner
  • Assist with the benefit program, including maintain the benefit programs to ensure accuracy of enrollment and terminations; assist with open enrollment; answer routine benefit questions for staff
  • Assist with coordination of trainings and professional development needs of agency; assist with maintenance of LMS and training records
  • Assist with department projects as requested and needs demand, including PQI projects supported by department
  • Assist with background screening requirements as required by the agency, COA, DCF, the Managing Entity and any agencies as appropriate
  • Provide guidance to staff on work-related injuries/incidents (Workers’ Compensation Claims) on an as needed basis (unrelated to specific programs)
  • Process purchase orders for the department to ensure compliance with agency procedures
  • Provide reception back-up; handle calls to agency from clients and stakeholders and properly direct the caller to the requested information, resource, or staff
  • Actively participate in the PQI process by serving on the Human Resources Committee, Safety Committee, and Diversity, Equity, and Inclusion Committee
  • Maintain confidentiality regarding client and personnel rights and HIPAA regulations by handling client, personnel, and agency data in accordance with the confidentiality policies
  • Implement program/department administration according to program standards and objectives ensuring that all agency, COA, DCF, Managing Entity and other relevant standards for quality are identified and followed
  • Collect all necessary data in a timely manner for the reporting and evaluation of program/department activities and outcomes
  • Provide recommendations for process improvements as appropriate
  • Communicate and work collaboratively with administrative team members and communicate regularly with supervisor on department needs and issues
  • Complete administrative duties, including but not limited to email and telephone correspondence, telephone and web conferences, and complete required documentation, reports, and time sheets accurately and on time
  • Ensure that quality assurance and compliance with all regulatory entities (CDAC, DCF, Managing Entity, and COA) are supported through timely and accurate documentation and reporting measures
  • Adhere to all agency policies and procedures, including safety, ethics, and confidentiality guidelines
  • Work flexible schedule when necessary
  • Attend all required agency trainings and meetings
  • Continue professional development in the field of human resources and labor practices and complete required documentation
  • Demonstrate an understanding of and participate in the agency Performance and Quality Improvement Plan
  • Assist with special projects and other duties as assigned to drive the vision, fulfill the mission, and abide by the values of this agency
