About The Position

The Human Resource Assistant is a non-exempt, hourly position within the Human Resources Department, based in Chicago, Illinois (Cook County), and reporting directly to the Vice President of Human Resources. This role provides administrative and clerical support to ensure the Human Resources Department's daily operations run effectively and efficiently, including maintaining employee records, coordinating HR activities, and supporting various HR processes and initiatives.

Requirements

  • High school diploma or equivalent required.
  • Administrative training required.
  • Two years of prior office experience.
  • A valid driver’s license and acceptable driving record
  • Reliable transportation with insurance coverage maintained at OHU standards
  • Strong interpersonal skills and the ability to handle sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Exceptional organizational skills and a keen attention to detail.
  • Proficient in Microsoft Office Suite and similar software applications.
  • Experienced in payroll management and human resource information systems (HRIS), or capable of quickly learning such computer applications.

Responsibilities

  • Maintain the integrity and confidentiality of accurate human resource files, records, and documentation.
  • Perform periodic audits of HR files and records to ensure that all required documents are filed appropriately.
  • Provide clerical support to the HR department.
  • Answer and direct departmental phone calls.
  • Receive and distribute office mail.
  • Manage the HR department email inbox.
  • Answer frequently asked questions from applicants and employees and refer complex questions to appropriate senior-level HR staff or management.
  • Proofread and type documents and correspondence produced by department.
  • Process required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters.
  • May assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.
  • Schedule and organize appointments.
  • Assist with new hire orientation.
  • Assist with planning and execution of events such as benefits enrollment, organization-wide meetings, employee recognition celebrations, holiday parties, and retirement celebrations.
  • May assist with preparation of human resource reports such as attendance, new hire, and turnover reports.
  • Perform other duties as assigned.
