About The Position

Arizona Autism Charter Schools is the first autism-focused charter network in the state of Arizona and the Southwest. Our mission is to empower students with autism to reach their full potential through innovative education and supportive environments. As a member of our Human Resources team, you will play an important role in supporting the employees who make this mission possible. We are seeking a full-time (12-month) HR Coordinator with outstanding organizational, communication, and administrative skills to support our growing organization. This position requires initiative, critical thinking, strong attention to detail, and the ability to effectively manage multiple priorities while applying established AZACS policies, procedures, and practices. Under the supervision and direction of the HR Director, the HR Coordinator supports day-to-day Human Resources operations with primary responsibility for payroll and benefits administration. The HR Coordinator serves as a resource for employees and managers regarding routine payroll, benefits, timekeeping, HRIS, and HR processes and works closely with the HR Generalist and HR Assistant to support accurate, timely, and consistent HR operations across the organization.

Requirements

  • High school diploma or equivalent required.
  • Minimum of two (2) years of related Human Resources experience, including direct experience with payroll processing and/or benefits administration.
  • Demonstrated experience independently managing assigned HR processes and resolving routine payroll, benefits, timekeeping, or HRIS issues.
  • Experience using HRIS, payroll, benefits, and/or timekeeping systems.
  • Strong working knowledge of payroll and benefits administration practices and requirements.
  • Ability to obtain and maintain a valid Arizona IVP Fingerprint Clearance Card.

Nice To Haves

  • Three (3) or more years of related Human Resources, payroll, benefits, or HR operations experience.
  • Associate degree or relevant coursework in Human Resources, Business Administration, Accounting, Payroll, or a related field.
  • Experience working in K–12 education, a charter school environment, or a nonprofit organization.
  • Experience with BambooHR or similar HRIS platforms.
  • Experience with StratusTime or similar timekeeping systems.
  • Experience working with payroll processing systems.
  • Experience working directly with benefits brokers, carriers, or third-party administrators.
  • Working knowledge of Arizona employment requirements.
  • HR, payroll, or benefits-related professional certification or coursework.

Responsibilities

  • Coordinate and process bi-weekly payroll for hourly and salaried employees, ensuring payroll is accurate, complete, and submitted according to established deadlines.
  • Review manager-approved timesheets and timekeeping records for accuracy and identify missing, incomplete, or inconsistent information prior to payroll processing.
  • Process approved payroll adjustments, including PTO, stipends, supplemental pay, reimbursements, wage garnishments, benefit deductions, and other compensation changes.
  • Maintain accurate documentation and supporting records for payroll adjustments and modifications.
  • Administer and maintain the organization's timekeeping system and support accurate time and attendance records.
  • Assist employees and managers with routine timekeeping questions, missed punches, clock-in/clock-out issues, leave entries, and system troubleshooting.
  • Generate and review payroll and timekeeping reports to identify discrepancies and support payroll accuracy.
  • Provide guidance and training to employees and managers regarding established payroll and timekeeping procedures and system use.
  • Assist with payroll audits, reconciliations, year-end processing, W-2s, 1099s, and other payroll-related reporting as needed.
  • Maintain confidentiality and appropriate controls related to payroll and employee compensation information.
  • Serve as a primary point of contact for routine employee benefits questions, including medical, dental, vision, life insurance, disability, flexible spending accounts, supplemental benefits, and other benefit programs.
  • Coordinate new-hire benefit enrollment and ensure employees receive appropriate enrollment information, eligibility dates, and applicable deadlines.
  • Process benefit enrollments, qualifying life events, changes, and terminations in accordance with established plan requirements and deadlines.
  • Maintain accurate benefit elections and employee information within the HRIS and benefits administration systems.
  • Coordinate with benefits brokers, carriers, and third-party administrators to resolve routine enrollment, eligibility, and coverage issues.
  • Assist employees with navigating benefit programs and obtaining assistance from appropriate carriers or vendors.
  • Support annual open enrollment, including employee communications, enrollment resources, system preparation, tracking, and follow-up.
  • Assist with monthly benefits billing reconciliation by comparing carrier invoices, payroll deductions, and HRIS enrollment records; research discrepancies and escalate unresolved issues as appropriate.
  • Coordinate and track employee wellness programs, incentives, and related vendor communications.
  • Support ACA reporting, COBRA administration, and other benefits-related compliance activities in coordination with HR leadership and third-party administrators.
  • Maintain accurate employee information within HRIS, payroll, timekeeping, and benefits systems and help ensure consistency of information across platforms.
  • Process employee status changes and other approved personnel transactions accurately and timely.
  • Conduct routine audits of payroll, benefits, HRIS records, and other HR data to identify discrepancies and initiate corrections within established procedures.
  • Maintain appropriate documentation and records supporting payroll, benefits, and HR transactions.
  • Assist with employment records, personnel file maintenance, and required HR documentation.
  • Prepare routine HR reports and data related to payroll, benefits, headcount, employee changes, and other HR operations.
  • Support HR compliance activities and audits by gathering documentation, maintaining records, and assisting with required reporting.
  • Maintain strict confidentiality of employee, payroll, benefits, medical, and other sensitive HR information.
  • Serve as an HR resource for employees regarding routine HR processes and direct more complex or sensitive employee matters to the HR Generalist or HR Director as appropriate.
  • Support employee onboarding and offboarding processes, including coordination of payroll, benefits, HRIS, and required employment documentation.
  • Assist with new-hire orientation and provide employees with information regarding payroll, timekeeping, benefits, and HR systems.
  • Support the HR team with employee changes, transfers, terminations, and other employment transactions.
  • Provide recruiting and staffing support during peak hiring periods as needed.
  • Prepare HR correspondence, reports, presentations, and other documentation as assigned.
  • Assist with HR projects, process improvements, system implementations, audits, and data clean-up initiatives.
  • Identify recurring administrative or system issues and bring opportunities for process improvement to HR leadership.
  • Provide backup support to other members of the HR team as needed.
  • Maintain regular and predictable attendance as an essential requirement of the position.
  • Perform other related duties as assigned by the HR Director.
