About The Position

The HRIS System Administrator is responsible for the day-to-day administration, support, and ongoing maintenance of the Workday platform. Additionally, this role is responsible for creating and supporting the departments’ SharePoint applications and PowerBI reports. This role ensures system stability, data accuracy, and timely processing of requests while balancing multiple priorities. Collaborates with various HR teams. This person is detail oriented, highly organized, and able to deliver accurate results in a fast-paced environment.

Requirements

  • High School Diploma or GED required.
  • Minimum two (2) years of hands-on Workday experience is required.
  • Minimum two (2) years of HR experience in Human Resources and functional skills required.
  • Working knowledge of Workday HCM navigation, processes, and module interactions (especially position management and staffing).
  • Understanding of position management concepts including headcount tracking, position lifecycle (open, fill, close, backfill), and organizational alignment.
  • General knowledge of HR operations and employee lifecycle processes.
  • Knowledge of data governance, validation practices, and confidentiality standards.
  • Familiarity with user support processes and SOP documentation.
  • HRIS Administration: Efficiently process system transactions, manage requests, and support end users.
  • Data Management: Ensure data accuracy through validation, reconciliation, and discrepancy resolution.
  • Problem-Solving: Troubleshoot issues, perform basic root cause analysis, and escalate when appropriate.
  • Position & Headcount Tracking: Maintain headcount records, manage position updates, and ensure alignment with approvals.
  • Organization & Prioritization: Handle multiple requests and deadlines in a fast-paced environment.
  • Communication: Provide clear guidance to users and coordinate effectively with HR stakeholders.
  • Documentation: Maintain clear, accurate SOPs and job aids.
  • Maintain a high level of accuracy and attention to detail.
  • Follow established processes, controls, and approval workflows.
  • Manage competing priorities with minimal supervision.
  • Exercise sound judgment in identifying and escalating issues.
  • Adapt to system updates and process changes.

Responsibilities

  • Administers, maintains, and supports the Workday Human Capital Management (HCM) system, ensuring optimal system performance, data integrity, security, and compliance.
  • Manages and prioritizes multiple system requests, enhancements, and user inquiries while maintaining high levels of accuracy, responsiveness, and customer service.
  • Participates in the testing, validation, and deployment of Workday business process changes, system enhancements, and biannual Workday releases.
  • Monitors and maintains data integrity across Workday modules; identify, investigate, and resolve data discrepancies and processing issues.
  • Conducts system audits, troubleshooting, root cause analysis, and issue resolution to ensure reliable system functionality.
  • Reviews Workday release notes, test new features and functionality, and coordinates implementation of approved system updates and enhancements.
  • Develops, maintains, and updates standard operating procedures (SOPs), process documentation, and user job aids.
  • Ensures compliance with organizational policies, data privacy requirements, security standards, and internal controls.
  • Provides end-user support, guidance, troubleshooting assistance, and training for Workday users and stakeholders.
  • Partners with Human Resources departments to troubleshoot issues, develop solutions, and improve business processes.
  • Administers and maintains Tribal Government Office (TGO) budgeted headcounts and position management activities within established organizational guidelines.
  • Maintains budgeted headcount reports, ensuring appropriate approvals, documentation, and position history records are accurately tracked and retained.
  • Manages position assignments in Workday, including creating, updating, reopening, closing, and reassigning positions based on approved business needs.
  • Ensures organizational structures, supervisory organizations, and position assignments are accurately maintained within Workday.
  • Coordinates with HR, Finance, and recruiting teams to ensure approved position assignments are communicated timely to support recruitment and hiring activities.
  • Monitors position utilization and workforce planning data to support headcount management, reporting, and organizational decision-making.
  • Audits position records and headcount data to ensure accuracy, compliance, and alignment with approved staffing plans.
  • Designs and maintains SharePoint Online sites, forms, lists, and document management solutions to support business operations and collaboration.
  • Develops Power Applications and Power Automate workflows to automate business processes, approvals, notifications, and data collection activities.
  • Creates and maintains Power BI dashboards and reports, providing actionable insights through data visualization, KPI tracking, and operational reporting.
  • Integrates data from Workday, SharePoint, and other enterprise systems to develop reporting solutions that support workforce planning and management decision-making.
  • Performs other duties as assigned to support the efficient operation of the department.
