About The Position

We are seeking a detail-oriented and people-savvy HR & Recruitment Coordinator to join our team on a part-time basis. This role is the engine behind getting the right First Aid Responders hired and on-site at our busiest events. You will own the full recruiting cycle for high-demand zones, keep our HR and operational databases healthy, ensure our staff remain fully licensed and compliant, and take on special projects as our needs evolve. Requirements

  • 1+ years of experience in recruiting, HR coordination, or a related role.
  • Strong organizational skills with keen attention to detail — especially around data accuracy and compliance tracking.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-moving environment.
  • Self-starter who can work independently with minimal supervision.

Nice To Haves

  • Experience recruiting in healthcare, EMS, emergency services, or event staffing.
  • Experience working in a remote or distributed team environment.
  • Background in HR compliance or workforce management.

Responsibilities

  • Manage end-to-end recruitment for First Aid Responder roles in high-volume event zones, including posting positions, screening candidates, coordinating interviews, and extending offers.
  • Build and maintain a strong pipeline of qualified, credentialed candidates to support rapid deployment needs.
  • Conduct or coordinate interviews, reference checks, and pre-employment screenings.
  • Partner with operations leadership to understand upcoming event schedules and anticipate staffing needs by region.
  • Develop creative sourcing strategies to attract new talent, including outreach to EMS schools, trade groups, and online communities.
  • Maintain the accuracy and integrity of HR, payroll, and scheduling databases — ensuring employee records, certifications, availability, and status are always current.
  • Audit database records regularly to identify and resolve gaps, duplicates, or outdated information.
  • Assist with onboarding new hires, ensuring all documentation, system entries, and credentialing records are completed before deployment.
  • Track and monitor state and local EMS certifications, EMT licenses, CPR credentials, and any other required compliance documents for all active staff.
  • Proactively identify upcoming expirations and follow up with employees to ensure renewals are completed on time.
  • Maintain compliance records in accordance with company policy and any applicable state regulations.
  • Flag any compliance gaps to management.
  • Support HR and operations leadership with special projects, which may include process improvements, reporting, policy drafting, or research.
  • Assist with seasonal surge planning around peak event periods.
  • Contribute ideas to improve the candidate and employee experience.
