About The Position

The HR Payroll Specialist plays a critical role in ensuring accurate and timely processing of employee payroll within the organization. This position is responsible for managing payroll data, verifying timesheets, and ensuring compliance with federal, state, and local payroll regulations. The specialist will collaborate closely with HR and finance teams to maintain employee records and resolve payroll discrepancies. They will also contribute to the continuous improvement of payroll processes and systems to enhance efficiency and accuracy. Ultimately, this role ensures employees are compensated correctly and on schedule, supporting overall employee satisfaction and organizational compliance.

Requirements

  • Associate’s degree in Human Resources, Accounting, Business Administration, or a related field.
  • At least 2 years of experience in payroll processing or a related HR/payroll role.
  • Strong knowledge of payroll software and systems, such as ADP, Paychex, or similar platforms.
  • Familiarity with federal, state, and local payroll laws and regulations in the United States.
  • Proficiency in Microsoft Excel and other office productivity tools.
  • Strong attention to detail and organizational skills are essential to verify timesheets and ensure compliance with complex payroll regulations.
  • Communication skills are used to collaborate effectively with HR, finance teams, and employees to resolve payroll issues and answer inquiries.
  • Analytical skills help in preparing payroll reports, conducting audits, and identifying process improvements.
  • Proficiency in Excel and other tools supports data management and reporting tasks critical to payroll operations.

Nice To Haves

  • Bachelor’s degree in Human Resources, Accounting, or Business Administration.
  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) designation.
  • Experience with HRIS systems and integration with payroll software.
  • Knowledge of benefits administration and timekeeping systems.
  • Strong analytical skills and experience with payroll reporting and audits.

Responsibilities

  • Process and administer payroll for all employees accurately and on time, including regular, overtime, bonuses, and deductions.
  • Maintain and update payroll records, ensuring data integrity and confidentiality.
  • Verify timesheets, leave records, and other relevant documentation to ensure accurate payroll calculations.
  • Ensure compliance with all applicable federal, state, and local payroll laws and regulations.
  • Collaborate with HR and finance departments to resolve payroll discrepancies and answer employee payroll inquiries.
  • Prepare and submit payroll reports and tax filings in a timely manner.
  • Assist with payroll audits and support year-end processes such as W-2 and 1099 preparation.
  • Continuously review and improve payroll processes and systems to increase efficiency and accuracy.
