About The Position

We are seeking a proactive and detail-oriented HR Payroll & Administration Specialist to support our Washington, DC team (20 FTEs) on a freelance basis for a minimum of six months. This part-time role requires a commitment of one day per week, with onsite presence at our Washington, DC office during the working day. In this role, you will manage payroll operations, administer employee benefits, maintain accurate employee records, and ensure compliance with applicable U.S. employment regulations. As a freelance partner to our global People, Culture & Communication team, you will also serve as our local HR expert, providing practical guidance on U.S. employment practices, compensation frameworks, and regulatory requirements. Your expertise will support informed decision-making and help ensure our global People practices remain aligned with local legislation.

Requirements

  • Bachelor's degree in Human Resources, Business Administration, Law, or a related field.
  • Minimum of 5 years of experience in HR administration and payroll, with hands-on experience supporting employees in the United States.
  • Strong knowledge of U.S. employment law, payroll regulations, tax requirements, and employee benefits administration.
  • Experience working with U.S. payroll providers, HRIS, and payroll systems.
  • Ability to interpret U.S. employment legislation and provide practical guidance to HR teams and managers.
  • Excellent organizational skills, attention to detail, and the ability to work independently.

Nice To Haves

  • A Master's degree in Human Resources, Employment Law, or a related discipline is a plus.

Responsibilities

  • Manage monthly payroll operations, ensuring accurate processing, reporting, and timely submission of all required payroll documentation.
  • Administer employee benefits and coordinate with external providers to ensure accuracy and compliance with U.S. regulations.
  • Act as the main point of contact for payroll and benefits providers, maintaining accurate payroll records and responding to employee queries.
  • Provide payroll reports and HR updates to the People, Culture & Communication and Finance teams, ensuring decisions are compliant, informed, and aligned with local regulations while supporting a consistent global approach.
  • Manage employee leave records and related administrative processes, including vacation, sick leave, and other statutory entitlements.
  • Ensure compliance with applicable employment regulations relating to payroll, leave, overtime, and employee benefits, while providing guidance on audit procedures and employment-related matters.
