As our HR function continues to evolve, we are looking for an HR Operations & Payroll Officer to join our team and take ownership of key HR operational processes, payroll coordination, HR systems, employee compliance, and continuous improvement initiatives. This role will be responsible for ensuring accurate and efficient payroll operations from the HR side, maintaining high-quality employee data and documentation, supporting HR systems, and driving improvements that make HR processes more reliable, efficient, and employee-friendly.

Requirements

2 to 4 years of experience in HR operations, payroll, finance operations, or a related field.
Strong understanding of payroll processes, employee data, and HR operations.
Experience working with HRIS, payroll, or workforce management systems.
Strong attention to detail, organization, and follow-through.
Strong analytical and problem-solving skills.
Ability to manage multiple priorities and recurring deadlines.
Strong communication and cross-functional collaboration skills.
Proactive mindset with an interest in process improvement and automation.

Responsibilities

Coordinate monthly payroll preparation and validation, ensuring accurate and timely processing of payroll inputs, adjustments, overtime, attendance, and deductions.
Investigate and resolve payroll discrepancies and serve as a key HR point of contact for payroll-related queries.
Maintain accurate payroll records and ensure approved salary and benefits changes are correctly implemented.
Own relevant HRIS processes, particularly payroll and workforce administration.
Support HRIS implementation, migration, configuration, testing, and enhancement initiatives.
Maintain payroll workflows, SOPs, user guides, and process documentation, identifying opportunities for automation and improvement.
Ensure payroll processes, controls, and approval workflows are consistently followed and audit-ready.
Coordinate employee documentation required for payroll and statutory compliance, including tax, family allowance, and NSSF-related records.
Maintain accurate employee compliance records and coordinate with HR and Finance to ensure timely completion and submission of required documentation.
Support the implementation of HR initiatives, including employee retention, recognition, reward, salary, and benefits programs.
Coordinate the operational rollout of approved HR and payroll policy and process changes, ensuring accurate system and payroll implementation.
Own the preparation and administration of employee attestations, including employment and salary certificates, bank letters, embassy and visa letters, and other official documentation.
Maintain standardized templates and ensure employee requests are handled accurately, efficiently, and confidentially.
Develop and maintain payroll and HR operational reports, monitoring key metrics such as payroll accuracy, exceptions, overtime, allowances, and compliance.
Provide insights to support HR decision-making and contribute to the development of payroll and HR dashboards.
Identify and implement opportunities to improve HR operational efficiency, employee experience, and process effectiveness.
Support payroll automation, workflow optimization, digitization, and documentation standardization initiatives.
Partner with HR, Finance, Data, and other relevant teams to strengthen processes, systems, controls, and operational efficiency.
