About The Position

The HR & Onboarding Assistant supports the day-to-day operations of the HR department, with primary responsibility for new hire onboarding in iCIMS and ADP. This role also provides administrative support across workers' compensation, leaves of absence, benefits, and general HR administration. This is a broad, fast-paced support role, and duties will shift with the needs of the department.

Requirements

  • High school diploma or equivalent required
  • One to three years of HR administrative, onboarding, or recruiting coordination experience.
  • Experience with ADP and iCIMS preferred
  • Familiarity with I-9, FMLA, and workers' compensation processes preferred.
  • Proficiency with Microsoft Office, particularly Excel and Outlook.
  • Strong attention to detail, organization, and follow-through in a high-volume environment.
  • Proven discretion with confidential employee, medical, and compensation information.
  • Ability to manage competing priorities with minimal supervision.

Nice To Haves

  • Degree in HR, business, or a related field preferred.
  • Experience with Benefits, FMLA, Workers Compensation a plus

Responsibilities

  • Manage the onboarding process end to end in iCIMS and ADP, including offer letters, background checks, new hire paperwork, I-9 completion, and employee record setup.
  • Track completion of onboarding and compliance requirements, including licensure and credentialing documentation for clinical staff, and follow up on outstanding items.
  • Serve as a first point of contact for new hires and employees, answering routine questions and escalating as appropriate.
  • Provide administrative support for FMLA and other leaves of absence, including paperwork, deadline tracking, and file maintenance.
  • Support workers' compensation administration, including incident reporting to the carrier, documentation, claim tracking, and OSHA recordkeeping.
  • Assist with benefits enrollment, life event changes, open enrollment, and resolution of discrepancies with carriers and the broker.
  • Maintain accurate, confidential employee records and personnel files in accordance with retention requirements.
  • Complete employment verifications, unemployment responses, offboarding paperwork, and other recurring HR administration.
  • Run reports from ADP and iCIMS and flag data issues for correction.
  • Support HR projects, audits, and other duties as assigned.
  • Escalate matters requiring interpretation of law or policy, including eligibility determinations and accommodation requests, to HR leadership.
