About The Position

The Human Resources & I-9 Compliance Specialist serves as the University’s primary institutional resource for employment eligibility verification, onboarding compliance, and work authorization processes. This position ensures compliance with federal Form I-9 regulations and related employment authorization requirements while delivering accurate, responsive, and customer-focused support to employees, supervisors, and campus partners. The Specialist independently administers I-9 completion, review, tracking, and auditing processes; advises stakeholders on compliance requirements; and supports continuous improvement of onboarding and HR compliance workflows. Through strong attention to detail, sound judgment, and cross-functional collaboration, this role mitigates institutional risk, ensures data integrity, and supports a compliant and efficient onboarding experience.

Requirements

  • Bachelor’s degree or an equivalent combination of education and work experience.
  • 1 year work-related experience providing a high-level of customer service.
  • Ability to work in a fast-paced environment that requires cognitive flexibility and the ability to multitask in a disruptive environment.

Responsibilities

  • Serve as the institutional subject matter expert for Form I-9 requirements and employment eligibility verification. Review, validate, and approve Form I-9 documentation for accuracy, completeness, and timeliness in accordance with federal regulations. Coordinate Section 1 and Section 2 completion for new hires, rehires, and reverifications. Correct technical and substantive I-9 errors in accordance with regulatory guidance. Monitor and manage re-verification timelines and expiring work authorization documentation.
  • Coordinate onboarding compliance processes to ensure timely completion of required documentation (I-9, work authorization, employment and I-9 tracking data). Track I-9 and work authorization milestones and follow up with employees and departments to prevent compliance lapses. Review employment transactions for compliance alignment across HR systems. Partner with hiring departments to resolve compliance discrepancies or delays.
  • Conduct regular internal audits of I-9 records and related employment documentation. Maintain audit trails and documentation to demonstrate regulatory compliance. Prepare documentation and reports in support of internal or external compliance reviews. Identify compliance gaps and implement corrective action processes to mitigate institutional risk.
  • Provide responsive, high-quality service to employees, supervisors, and campus partners via in-person, phone, and electronic communication. Serve as front-line support for walk-in and virtual HR inquiries, triaging and directing matters appropriately. Explain onboarding and journeys processes, I-9, and employment eligibility requirements in clear, accessible language. Troubleshoot system and process-related issues impacting onboarding and compliance completion.
  • Enter, modify, and maintain employment and compliance data within WyoCloud, I-9, work authorization, and related systems. Develop and maintain tracking mechanisms to monitor compliance deadlines and workflow status. Reconcile data discrepancies across systems to ensure accuracy and integrity. Ensure appropriate record retention in accordance with regulatory and institutional standards.
  • Generate routine and ad hoc compliance reports and data queries. Analyze trends related to onboarding completion, audit findings, and compliance gaps. Provide data-informed recommendations to improve processes and reduce risk exposure.
  • Advise supervisors and stakeholders on I-9 and onboarding requirements, timelines, and best practices. Contribute to training materials, process documentation, and user guides. Participate in process improvement initiatives to enhance efficiency and compliance outcomes.
  • Support special projects and operational initiatives within Human Resources. Provide cross-functional assistance during peak operational periods. Participate in professional development to remain current on regulatory and compliance changes. Perform other duties as assigned.
