About The Position

The HR Associate & Carrier and Licensing Administrator is responsible for supporting day-to-day HR operations while managing carrier appointments, state licensing, and compliance requirements. This hybrid role ensures accurate employee data management, regulatory compliance, and effective coordination with carriers and licensing bodies. This position also serves as backup support to HR Compliance to ensure continuity of compliance-related functions.

Requirements

  • Strong understanding of HR processes and employment compliance
  • Knowledge of insurance licensing and regulatory requirements (multi-state preferred)
  • Experience with HRIS systems and licensing platforms
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Strong communication and interpersonal skills
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)

Responsibilities

  • Maintain employee records in HRIS systems, ensuring accuracy and confidentiality
  • Support onboarding and offboarding processes, including paperwork, system access, and orientation coordination
  • Assist with benefits administration, enrollments, and employee inquiries
  • Track and maintain compliance with company policies and employment regulations
  • Support payroll processing by maintaining accurate employee data and time records
  • Generate HR reports and metrics as needed
  • Manage agent/agency licensing processes across multiple states
  • Track and ensure compliance with state licensing requirements
  • Submit and maintain carrier appointments
  • Serve as a point of contact with insurance carriers and regulatory agencies
  • Maintain accurate licensing records and documentation in internal systems and external databases
  • Conduct audits to ensure compliance with licensing and carrier requirements
  • Resolve licensing or appointment issues in a timely manner
  • Manage user access in carrier websites
  • Act as backup to HR Compliance to support regulatory and internal compliance initiatives
  • Assist with audits, compliance reporting, and documentation reviews as needed
  • Help monitor adherence to employment laws, company policies, and regulatory requirements
  • Support investigations, policy updates, and corrective action tracking when required
  • Ensure continuity of compliance processes during absences or high-demand periods
