About The Position

The HR Administrator supports the daily operations of the Human Resources department at Covenant House Illinois (CHIL) by providing administrative, compliance, and employee-facing support. This role is essential to ensuring smooth HR processes, accurate recordkeeping, and a positive employee experience for a diverse, mission-driven workforce operating in 24/7 program environments. The HR Administrator serves as a key point of contact for staff, supports the full employee lifecycle, and assists with compliance, payroll coordination, and policy implementation.

Requirements

  • Associate or Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
  • 2–4 years of HR administrative or HR support experience preferred.
  • Experience working with HRIS systems (TriNet or similar platforms preferred).
  • Knowledge of HR compliance practices including I-9 administration and personnel file management.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with professionalism and discretion.

Nice To Haves

  • Experience working in a nonprofit or human services organization.
  • Familiarity with HR reporting and workforce data tracking.
  • Notary certification or willingness to obtain certification.

Responsibilities

  • Manage the recruitment lifecycle including job postings, candidate sourcing, interview scheduling, and hiring coordination.
  • Assist with revitalizing and maintaining recruitment processes to improve candidate flow and hiring efficiency.
  • Conduct Pre-screenings, reference checks and coordinate background checks for new hires.
  • Serve as the primary liaison with temporary staffing agencies (e.g., QPA, Delta, etc.).
  • Assisting IT in setting up employee accounts, badges, and system access.
  • Prepare recruitment reports including weekly, monthly, and annual hiring and retention metrics.
  • Coordinating new hire training completion and filing certifications.
  • Track employee policy acknowledgements, required trainings, and certifications.
  • Support the management and organization of personnel files in accordance with HR compliance standards.
  • Assist with internal audits, funder compliance requirements, and HR reporting requests.
  • Maintain documentation for HR compliance and regulatory purposes.
  • Track employee probationary periods and coordinate required 30/60/90 check-ins.
  • Assist with the administration of the Tuition Reimbursement Program, including processing applications, verifying eligibility, and coordinating approvals.
  • Assist with employee loan requests, including processing applications, ensuring approvals and tracking repayment or status.
  • Provide administrative and operational support to the COO.
  • Prepare HR correspondence, and internal communications.
  • Schedule and coordinate HR meetings, trainings, and staff communications.
  • Coordinate the tuition reimbursement program.
  • Maintain the CHIL organization chart.
  • Support employee engagement initiatives such as the 3 C's Engagement program, administer staff surveys, and manage recognition awards.
  • Manage ordering and distribution of operational supplies including office supplies, Ventra cards, and gift cards.
  • Complete finance expense reports for COO company card purchases.
  • Other duties as assigned.
