About The Position

We are seeking a highly organized, proactive, discreet, and dependable Household Manager / Family Personal Assistant to support the day-to-day operations of a busy family household with children. This role serves as the central point of coordination for the home and family schedule, ensuring that household operations, children's activities, appointments, vendors, errands, travel preparations, and personal administrative needs are handled efficiently and thoughtfully. The ideal candidate is warm, professional, resourceful, and exceptionally organized. They should be comfortable working in a family environment, communicating with parents and children, managing changing priorities, and anticipating needs before they arise. This position is primarily focused on household management and family support rather than childcare; however, the Household Manager should be comfortable assisting with child-related logistics and providing occasional hands-on support when needed.

Requirements

  • Previous experience as a Household Manager, Family Assistant, Personal Assistant, Estate Manager, Executive Assistant, Nanny/Family Assistant, Hospitality Manager, or similar position strongly preferred.
  • Previous experience supporting a family with children is highly desirable.
  • Exceptional organization and time-management skills.
  • Ability to manage multiple schedules, priorities, and ongoing projects.
  • Strong attention to detail.
  • Excellent verbal and written communication skills.
  • Strong judgment and problem-solving abilities.

  • Strict confidentiality is required both during and after employment. Family information, photographs, schedules, locations, and personal matters must never be shared with outside parties or posted on social media.

Responsibilities

  • Oversee the daily organization and smooth operation of the family residence.
  • Maintain a clean, orderly, well-stocked, and welcoming household environment.
  • Create and maintain household systems, schedules, checklists, inventories, and organizational procedures.
  • Monitor household supplies and proactively replenish groceries, toiletries, cleaning products, paper goods, and other essentials.
  • Coordinate routine and seasonal household maintenance.
  • Identify household issues and arrange appropriate repairs or services.
  • Manage household projects from start to completion.
  • Ensure family spaces, children's areas, guest rooms, and common areas are organized and prepared as needed.
  • Help manage the family's master calendar, including school schedules, activities, appointments, practices, events, birthdays, and family commitments.
  • Coordinate children's extracurricular activities, lessons, camps, sports, and school-related logistics.
  • Track important school dates, holidays, early dismissal days, special events, and activity deadlines.
  • Assist with completing registrations, forms, activity sign-ups, and related administrative tasks.
  • Coordinate transportation arrangements for children as needed.
  • Prepare children's belongings for school, activities, sleepovers, camps, and travel.
  • Help maintain organized children's closets, activity supplies, sports equipment, school materials, and seasonal items.
  • Purchase children's clothing, school supplies, gifts, uniforms, activity equipment, and other requested items.
  • Coordinate children's appointments such as medical, dental, haircuts, tutoring, or extracurricular services at the parents' direction.
  • Help prepare for birthdays, school events, family celebrations, playdates, and children's gatherings.
  • Communicate professionally with schools, instructors, coaches, caregivers, and other family service providers when authorized.
  • Provide personal administrative support to the parents and family.
  • Manage and coordinate appointments, reservations, meetings, household-related commitments, and personal calendar items.
  • Make restaurant, entertainment, travel, wellness, and service reservations.
  • Handle personal errands and special requests.
  • Research products, services, activities, vendors, travel options, camps, restaurants, and other family needs.
  • Assist with online ordering, purchases, returns, exchanges, shipping, and gift buying.
  • Maintain organized digital and physical records for the household and family.
  • Track important deadlines, renewals, subscriptions, memberships, warranties, and registrations.
  • Assist with correspondence, invitations, thank-you notes, forms, and routine personal communications.
  • Coordinate personal appointments and service providers.
  • Help organize family documents, household records, children's records, and other confidential information.
  • Maintain running task lists and proactively follow through on outstanding items.
  • Support special personal or household projects as requested.
  • Assist with planning family travel, including flights, accommodations, transportation, dining, activities, and reservations.
  • Prepare detailed travel itineraries when requested.
  • Coordinate children's travel needs, including packing lists, equipment, medications provided by parents, entertainment, documents, and activity supplies.
  • Pack and unpack for family travel when requested.
  • Prepare the home before departure and help ensure it is ready for the family's return.
  • Coordinate pet care, deliveries, household staff, and vendors during family travel.
  • Maintain travel-related documents and confirmations in an organized format.
  • Serve as the primary point of contact for household vendors and service providers.
  • Schedule and supervise housekeepers, landscapers, maintenance professionals, contractors, technicians, delivery teams, and other vendors.
  • Obtain estimates and coordinate service appointments.
  • Oversee work performed in the home and follow up on incomplete or outstanding items.
  • Maintain records of repairs, warranties, service histories, and preventative maintenance schedules.
  • Coordinate home improvement and organizational projects.
  • Ensure vendors understand and respect household schedules, privacy, security, and family routines.
  • Coordinate schedules and responsibilities among household employees or regular service providers.

  • Keep the kitchen and pantry organized and appropriately stocked.

  • Prepare the residence for visiting family members, guests, playdates, parties, and special occasions.
  • Coordinate catering, flowers, rentals, entertainment, housekeeping, and other event vendors.
  • Prepare guest rooms and household spaces.
  • Purchase gifts and coordinate wrapping, shipping, and cards.
  • Maintain important family birthdays and special dates when requested.
  • Provide short-term supervision when a parent or caregiver is briefly unavailable.
  • Assist with school pickup or activity transportation.
  • Prepare snacks or simple meals for the children.
  • Help children gather belongings for school or activities.
  • Support family routines during especially busy periods.
  • Coordinate with nannies, babysitters, tutors, teachers, coaches, and other caregivers.
  • Reinforce household expectations while respecting the parents as the primary decision-makers regarding discipline, parenting, education, and childcare.
