About The Position

We are a fun and busy family looking for a House Manager & Family Assistant to help us find a better balance between juggling work, play, and everything in between. As entrepreneurs and business owners, both parents are constantly balancing demanding careers, speaking engagements, and educational trips. Life can often feel like a whirlwind! Our goal is to be fully present with each other, without the constant stress and overwhelm of juggling work and home life. We need someone who can help bring harmony to our home—taking on the logistics, the organizing, and the day-to-day tasks—so we can focus on what truly matters: spending more quality time together, stress-free and fully engaged. While we have a fantastic Nanny who works alongside us, helping with childcare and maintaining the kids schedule(s), we’re looking for someone to serve as the primary coordinator for household logistics, scheduling, and overall family coordination. You’ll work closely with our Nanny and other household providers, but your main focus will be to extend the support and vision of the family, ensuring everything from meal prep to vendor coordination is taken care of with efficiency and care. If you’re someone who enjoys wearing many hats, this role is a perfect fit! You’ll be the central person who keeps our household running like a well-oiled machine. From managing the family schedule and coordinating appointments to handling meal prep, laundry, and providing childcare backup, you’ll be the go-to for making sure everything falls into place. Your efforts will allow the parents to focus on what truly matters—spending quality time together! This role is the heartbeat of our household operation. You’ll bring structure, warmth, and a sense of calm to our busy home, all while keeping things light and fun. Requirements

  • Can maintain a smoke-free environment.
  • CPR certification (required for backup childcare)
  • Must have reliable transportation; family will provide reimbursement for mileage used while running errands.
  • Comfortable with occasional evening or weekend hours based on family schedule.
  • Ability to collaborate and work as a team with the household staff, including the Nanny, to ensure smooth daily operations.
  • Comfortable working in a home with cats.
  • Comfortable using technology for shared calendars, lists, helpful apps.
  • Self-motivated with an ability to manage multiple tasks independently.
  • Detail-oriented and organized with a love for creating systems.

Responsibilities

  • Coordinate schedules and logistics, ensuring that all household members, including the Nanny and other staff, are aligned.
  • Oversee daily resets of common areas, such as loading/unloading the dishwasher, wiping down surfaces, and tidying rooms.
  • Manage household organization systems, including closets, pantry, toys, and storage.
  • Prepare the home for bi-monthly housekeeping visits and support linen and towel rotations.
  • Manage seasonal tasks, like clothing swaps and overseeing special organization projects.
  • Help prepare for family events, holidays, and guest visits to ensure everything is in order.
  • Keep track of the family’s schedules—from doctors’ appointments to meetings and everything in between!
  • Assist with travel planning for family vacations and business trips, making sure everything is booked and organized.
  • Help with basic bookkeeping, like expense tracking and helping to keep personal and professional finances in order (e.g., invoices/payments received).
  • Be the family’s event mastermind—from planning birthday parties, setting up unforgettable date nights (or day dates!) 1-2 times per month so the parents can squeeze in some much needed time together.
  • Plan and meal prep three (3) family dinners a week, ensuring they’re healthy, easy to make, and kid-friendly with enough portions so there are leftovers.
  • Take on meal prep duties like easy breakfasts and grab-and-go lunches for the parents two (2) days per week.
  • Coordinate with the Nanny to make sure the kids' meals are aligned with the family’s schedule.
  • Maintain a tidy kitchen after meals and help with grocery shopping.
  • Track and restock household supplies, including groceries, toiletries, and other essentials.
  • Handle errands such as shopping for groceries, picking up dry cleaning, and gift shopping.
  • Organize packages, mail, and deliveries—keeping everything in order and on schedule.
  • Help manage service providers like cleaners, landscapers, and contractors to keep things in tip-top shape.
  • Oversee pool maintenance, including checking daily temperature (when in use) and coordinating the opening/closing for the seasons.
  • Assist in managing two rental properties—serving as the point of contact for tenants and helping with any repairs or maintenance needs.
  • Ensure the cats are fed as needed.
  • Schedule and coordinate annual vet and grooming appointments.
  • Keep cat supplies stocked and organized.
  • Track registration, insurance and service schedules for vehicles.
  • Ensure vehicles are charged, cleaned, and organized.
  • Support quarterly home-maintenance checklists.
  • Conduct periodic deep cleans (refrigerator and oven).
  • Seasonal opening/closing of outdoor spaces (pool and porches).
  • Cleaning and managing covers.
  • Monitoring the pool filter and temperature, especially because instructors come to do swim lessons and the pool has to be at a specific temperature.
  • Coordinating with the existing landscaping company, including noticing issues (e.g., brown grass) and contacting them.
  • Step in for backup childcare when the Nanny takes time off or when extra support is needed.
  • Provide light supervision, playtime, and help as needed to keep everything running smoothly.
