About The Position

This is a full-time position, 30-35 hours per week, for a House Manager / Family Assistant in Chicago, IL. The role involves providing after-school care and structure for two school-age children, managing household organization and maintenance, assisting with deep cleaning and special projects, inventory and errands, meal support, laundry, vehicle upkeep, vendor and property oversight, and administrative/personal assistant support. The family is active and values a collaborative, proactive approach. A key focus of the role is supporting the children in building their executive functioning skills. The ideal candidate is mature, emotionally intelligent, organized, proactive, and brings calm, steady energy. Experience with neurodivergent individuals, particularly those with ADHD and/or high-functioning autism, is important. The family does not want to micromanage, seeking someone who can take initiative and manage tasks independently with warmth and consistency.

Requirements

  • Maintain a smoke-free environment.
  • Reliable transportation (public transit, walking, or rideshare acceptable).
  • Up-to-date vaccinations per CDC guidelines.
  • Must be comfortable around (and not allergic to) cats.
  • Demonstrated experience working with neurodivergent individuals, particularly those with ADHD and/or high-functioning autism.
  • Must be authorized to work in the United States.
  • Ability to speak to experience working with neurodivergent individuals either professionally or personally.
  • Ability to notice what needs doing, plan ahead, and take care of it.
  • Understanding of the difference between doing things for kids and helping them build skills to do things themselves.
  • Ability to build trust through consistency, warmth, and follow-through.
  • Comfortable in a household where one adult works from home but is not available as a resource during the day.
  • Ability to bring initiative and not require constant direction.
  • Familiarity with vegetarian meals, tofu, beans, roasted vegetables, and mild flavor profiles is helpful.
  • Comfort with a household that cooks primarily vegetarian meals.
  • Familiarity with a child who has texture sensitivities and safe foods.
  • Familiarity with family members who prefer dairy-light and non-spicy cooking.

Responsibilities

  • Provide after-school structure and check-ins for both children.
  • Support the older child with redirection, medication reminders, homework completion, and accountability around routines and chores.
  • Engage the younger child with high energy, creativity, and proactive prompting, channeling energy into reading, projects, or productive activity.
  • Reinforce daily routines such as emptying lunchboxes, processing backpack contents, organizing cubbies, and the household reading-before-screen-time rule.
  • Oversee and teach lunch packing, snack prep, and backpack readiness with the children.
  • Coordinate occasional activity pickups or drop-offs for the younger child.
  • Maintain and improve household organization systems throughout the home.
  • Perform daily resets and light tidying, including dishes, surfaces, and high-traffic areas.
  • Help manage litter box cleaning and cat food/water refill and cleaning.
  • Complete Monday evening prep for Tuesday cleaning service.
  • Maintain mudroom organization.
  • Oversee indoor plant care.
  • Change batteries, light bulbs, and smoke detectors as needed.
  • Manage occasional guest room prep.
  • Support travel packing quality checks for children.
  • Assist with post-trip equipment check-in.
  • Maintain a monthly rotation of targeted deep clean tasks.
  • Manage organizational projects for storage areas including the garage, mudroom, and gear storage.
  • Support garage system resets and bike storage organization.
  • Proactively prepare bikes seasonally.
  • Proactively prepare skis seasonally.
  • Maintain running household supply lists and restock as needed.
  • Manage household inventory for various supplies.
  • Manage monthly donation drop-offs.
  • Handle midweek grocery runs for urgent staples or perishables.
  • Process returns at FedEx, UPS, and USPS.
  • Complete Monday meal prep (2-3 meals worth of prep work).
  • Midweek fresh produce prep as needed.
  • Daily after-school snack prep.
  • Keep the snack station and refrigerator organized.
  • Check expiration dates and flag low or missing items for the weekly grocery list.
  • Flag pantry and refrigerator gaps proactively.
  • Support kitchen clean-up and general kitchen maintenance.
  • Full laundry service for adults: wash, fold, organize, and put away.
  • Hand wash delicate and special-care garments.
  • Coordinate dry cleaning drop-off and pickup.
  • Maintain organized linen cabinet.
  • Work collaboratively with the older child on her personal laundry system.
  • Support younger child in taking over responsibility for personal laundry and bed linen rotation.
  • Weekly interior clean of the family vehicle.
  • Coordinate quarterly professional detailing or car wash.
  • Act as on-site point of contact for vendors and contractors.
  • Coordinate with the household's primary contractor on handyman punch lists, furniture deliveries, and project tracking.
  • Oversee scheduled services such as HVAC maintenance, filter changes, and pest control.
  • Proactively schedule seasonal service.
  • Monitor and flag household maintenance needs as they arise.
  • Manage incoming mail and packages.
  • Monitor the family digital calendar and proactively flag scheduling conflicts, appointment reminders, and coverage needs.
