Join our Administrative Services Department as a Hospitality/Facilities Assistant in our Miami office. We are seeking a service-oriented professional who thrives in a fast-paced environment. A strong commitment to client service, adaptability to changing priorities, and the ability to work both independently and as part of a team are essential. This role is in-office and requires flexibility to work overtime, including evenings or early mornings, as needed. This role reports to the Office Operations Manager.

  • Comfortable retrieving and replacing items from shelving units ranging from floor level to 8 feet high
  • Technology Proficiency in Microsoft Excel and Outlook, with the ability to learn new software programs quickly.
  • Demonstrates a basic understanding of artificial intelligence (AI), including core capabilities, limitations, and importance of data privacy, accuracy, verification, and ethical considerations within a professional services environment
  • Familiarity with or willingness to learn AI platforms (e.g., Microsoft Copilot, ChatGPT, or similar tools) and incorporate them responsibly into day-to-day workflows to enhance daily work tasks as appropriate and/or directed
  • Proactive approach to learning and adapting to emerging AI and related technologies and contributes to a culture of innovation

Nice To Haves

  • High school diploma or equivalent (preferred)
  • Previous experience in a hospitality or restaurant environment (preferred)
  • At least 2 years of experience in a maintenance environment (preferred)

Responsibilities

  • Delivers exceptional internal and external client service in a courteous and professional manner
  • Plans and executes scheduled service requests for meetings and office events using the Service Tracker System
  • Maintains hospitality supplies and equipment, ensuring availability and functionality
  • Keeps conference rooms, kitchen areas, and food counters clean, organized, and fully stocked
  • Sets up food counters promptly, ensuring readiness by scheduled times.
  • Responds quickly and accurately to guest requests and inquiries.
  • Performs minor patching and painting of interior walls, doors, and ceilings
  • Shampoo carpets after hours in offices as needed
  • Conducts routine maintenance tasks to maintain a safe and functional office environment using the Maintenance Work Order System
  • Assists with receiving and managing deliveries efficiently
  • Provides support for meetings and events, including setup, cleanup, and catering assistance
  • Assists with other department activities as needed and take on additional responsibilities as assigned
  • Demonstrates bartending skills, including mixology, customer service, multitasking, and maintaining a clean, bar environment in fast-paced settings
