About The Position

The Secondary School Secretary/Receptionist provides administrative support at the high school site; establishing and maintaining records; compiling and distributing materials and reports and responding to inquiries from a variety of internal and external sources. This role is responsible for outstanding customer service to students, families, and staff related to school operations.

Responsibilities

  • Greets all visitors courteously, checks appointments, and directs them to the proper person
  • Creates and maintains a clean, attractive, orderly, safe, and efficient office environment
  • Receives and routes all telephone calls and records messages
  • Compiles data for the purpose of preparing reports or processing requests including student reports such as attendance
  • Maintains the organization and the general record keeping of the office to include a variety of manual and electronic document files and records
  • Performs administrative work in support of the High School Principal and Secondary Assistant Principals
  • Maintains inventories of supplies and materials
  • Monitors students referred for illness or disciplinary action for the purpose of ensuring student welfare and maintaining a secure office environment
  • Responds to inquiries from a variety of internal and external parties (e.g. staff, other schools, government agencies, the general public, students, parents, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction
  • Support students in medication administration, basic health assessment and first aid care under the supervision or delegation of the school nurse
  • Assist and provide communication with maintenance staff regarding facility concerns
  • Reports immediately any suspicious activity or unusual behavior on the part of visitors
  • Maintains a professional level of confidentiality regarding personnel and student matters
  • Positively represents the school and its mission to the students, parents, colleagues, and general public
  • Ability to work cooperatively with school staff and administration
  • Covers classes as a substitute teacher as needed in the event of staffing emergencies
