Requirements

  • High school diploma or equivalent; associate's degree or relevant certification is a plus.
  • Proven experience in an administrative or clerical role is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience using Electronic Medical Records preferred.
  • Excellent organizational skills and attention to detail.
  • Strong communication and interpersonal skills.
  • Ability to multitask and manage time effectively.
  • Basic knowledge of office equipment and technology.
  • Professional demeanor and the ability to maintain confidentiality.
  • Strong problem-solving skills and a positive attitude.

Responsibilities

  • Provide general administrative support to the department, including handling phone calls, emails, and inquiries.
  • Maintain and organize physical and digital records, documents, and databases.
  • Schedule and coordinate meetings, appointments, and travel arrangements for team members.
  • Prepare and edit documents, reports, and presentations as needed.
  • Act as a point of contact for internal and external stakeholders, demonstrating professionalism and courtesy.
  • Manage and update contact lists and directories.
  • Input and update data accurately in spreadsheets and databases.
  • Maintain confidentiality and security of sensitive information.
  • Efficiently schedule and coordinate activities, ensuring timely completion.
  • Answer the phones in a timely manner and direct calls to appropriate team member.
  • Coordinate supply orders while ensuring fiscal responsibility.
  • Coordinate and oversee facilities related projects.
  • Follow up to ensure that overall facility is maintained in a safe and functional manner.
