About The Position

The Head of Tax Operations will provide final licensed CPA review and sign-off on AI-prepared 1040, 1065, 1120S, and C corporation returns. The role will establish the standards for when returns are signed, returned for correction, or held, with particular attention to K-1 pass-throughs, basis tracking, multi-state allocations, and tracing figures to source documents. Working directly with the founder and engineers, this person will build the review workflow, define edge-case rules and quality checks, document hard stops versus judgment calls, and determine the appropriate depth of review for each return. They will record reproducible errors and collaborate with engineering to identify causes and test fixes. The role also ensures compliance with IRS regulations, state guidelines, and Circular 230; identifies and documents legal tax-optimization strategies; and helps build and mentor a lean team of fractional or full-time reviewers. The position is full-time, US-based, and remote or hybrid, with founding equity and no billable-hour tracking. Work is measured by output, leverage, and accuracy.

Requirements

  • Active US CPA license, valid PTIN, and a clean disciplinary record.
  • At least 5 years of experience preparing and reviewing complex individual and small-business returns, including 1040s with multiple K-1s, S corporations, partnerships, C corporations, and multi-state clients.
  • Final sign-off experience under the candidate’s own license, or experience as the last reviewer without a partner behind them, including sound reasons for holding returns.
  • Experience with professional tax software and hands-on use of automation, OCR, or AI tools on real client work, with the ability to explain where their output could not be trusted.
  • Ability to write instructions others can follow, such as checklists, review rules, or error reports that junior reviewers or engineers can act on independently.
  • Experience building and running something independently, such as a solo practice, an early role at a tech-enabled firm, or a review process operated through a full filing season at real volume.

Nice To Haves

  • Experience handling IRS or state notices for small-business clients.
  • Experience training or reviewing junior, offshore, or fractional preparers.
  • Prompts or automations set up for tax or accounting work.
  • Experience reporting recurring errors to a product team at a tax software, fintech, or tech-enabled firm.
  • Experience writing tax-planning memos for S corporation owners, including reasonable compensation and entity choice.

Responsibilities

  • Review AI-prepared 1040, 1065, 1120S, and C corporation returns and decide whether to sign, return for correction, or hold each return under the CPA’s own license.
  • Focus review on K-1 pass-throughs, basis tracking, multi-state allocations, and other areas where software may make errors.
  • Trace figures to the source documents read by the AI engine.
  • Work with the founder and engineers to define edge-case rules, AI error checks, and QA steps.
  • Document review rules in clear steps and distinguish hard stops from judgment calls.
  • Determine which returns receive a light review and which require a full review.
  • Log engine errors by form, line, and cause, including examples engineers can reproduce.
  • Help identify whether errors originate in document scanning, prompts, or schedule logic, and test fixes with engineering.
  • Ensure the firm’s work complies with IRS regulations, state guidelines, and Circular 230.
  • Identify legal tax-optimization strategies for clients and document the reasoning.
  • Help build and mentor a lean team of fractional or full-time reviewers using the established playbook.

Benefits

  • Founding equity.
  • No billable-hour tracking; work is measured on output, leverage, and accuracy.
  • Authority to set the firm’s tax review standard and own final sign-off.
  • Direct access to the founder and engineering team, allowing feedback to shape the product.
