About The Position

We are seeking an experienced Business Manager with a strong background managing the day-to-day operations of a private family office. This individual will oversee financial administration, vendor and property management, personal and business operations, and strategic coordination for a high-net-worth family and related entities. The ideal candidate is highly organized, discreet, proactive, and capable of managing multiple priorities across personal, financial, and operational matters with professionalism and confidentiality.

Requirements

  • Bachelor’s degree in Business Administration, Finance, Accounting, or related field preferred.
  • 5+ years of experience in a family office, private office, executive management, or business management role.
  • Experience supporting high-net-worth individuals or family-owned businesses strongly preferred.
  • Strong financial acumen and understanding of budgeting, reporting, and vendor management.
  • Exceptional organizational and project management skills.
  • High level of discretion, judgment, and confidentiality.
  • Proficiency in Microsoft Office Suite, QuickBooks, and financial management systems.
  • Excellent written and verbal communication skills.

Responsibilities

  • Coordinate and oversee daily operations of the family office.
  • Manage budgeting, cash flow tracking, bill pay, and expense reporting.
  • Liaise with accountants, attorneys, wealth advisors, insurance brokers, and tax professionals.
  • Assist with financial reporting, document organization, and preparation for tax filings.
  • Monitor bank accounts, credit facilities, and investment-related administrative activities.
  • Review contracts, invoices, and vendor agreements for accuracy and approval.
  • Manage administrative operations for family-owned businesses and entities.
  • Coordinate special projects, business initiatives, and operational improvements.
  • Oversee office systems, recordkeeping, compliance files, and workflow processes.
  • Assist with HR-related coordination, including onboarding service providers and household staff.
  • Maintain strict confidentiality regarding all family and business matters.
  • Coordinate maintenance and operations for multiple residences and properties.
  • Manage relationships with contractors, property managers, household staff, and service providers.
  • Oversee scheduling of repairs, renovations, and preventative maintenance.
  • Negotiate vendor contracts and ensure quality and cost control.
  • Coordinate travel arrangements, itineraries, and logistics.
  • Manage calendars, appointments, and family scheduling needs.
  • Support event planning, philanthropic activities, and personal projects.
  • Handle sensitive requests and rapidly changing priorities with professionalism.
