About The Position

This hands-on, technical, detail-oriented individual-contributor role oversees the hardware lifecycle, from receiving and inventorying equipment through preparation, assignment, shipment, and confirmed delivery. The specialist serves as an operational bridge among Procurement, Finance, Technical Teams, Project Teams, vendors, shipping carriers, and clients to ensure equipment is received, prepared, documented, shipped, and delivered accurately and on schedule. The role requires independent work, proactive issue identification, and ownership of requests through successful completion. During larger deployments, the specialist may coordinate additional team members’ preparation work but has no direct people-management responsibility. The position includes receiving and inspecting equipment; maintaining inventory, asset, assignment, and shipment records; preparing and configuring devices; coordinating fulfillment and shipping; supporting client deployments and project timelines; resolving vendor, carrier, and delivery issues; and keeping operational systems accurate and audit-ready. Equipment must be properly prepared, assigned, documented, and verified before it is considered deployment-ready.

  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Self-motivated, with the ability to work independently and drive work forward.
  • Strong sense of ownership and accountability.
  • Comfort handling and working directly with computer hardware and technology equipment.
  • Effective problem-solving skills and a proactive approach to issue resolution.
  • Ability to maintain accuracy in fast-paced or high-volume environments.
  • Strong written and verbal communication skills.
  • Able to coordinate work and direct additional team members during larger projects without serving as their direct manager.
  • Able to follow issues through to a clear and complete resolution.

Nice To Haves

  • Experience with hardware deployments, device provisioning, endpoint configuration, or IT asset management.
  • Experience maintaining inventory and asset tracking systems.
  • Experience supporting multi-site or large-scale technology deployments.
  • Familiarity with computer hardware, peripherals, networking equipment, or business IT environments.
  • CompTIA A+ certification or equivalent technical knowledge.

Responsibilities

  • Physically receive, unpack, inspect, and inventory incoming equipment, verifying it against orders, packing slips, and project requirements.
  • Maintain accurate inventory, serial number, asset tag, device assignment, and equipment status records; allocate hardware to the correct clients, facilities, users, or projects.
  • Perform inventory counts and reconciliation, investigate discrepancies, and resolve missing, damaged, incorrect, or incomplete equipment issues.
  • Monitor inventory and upcoming deployment needs to identify potential shortages before they affect project timelines.
  • Prepare, stage, image, enroll, and configure devices according to client requirements and company standards, including enrollment in Microsoft Intune, Autopilot, or other supported management platforms as required.
  • Apply asset tags and other identification; verify assignments, configurations, accessories, components, and documentation; test devices and confirm readiness before shipment.
  • Own hardware movement from receipt through shipment and confirmed delivery, including packaging, shipping labels, carrier pickups, tracking, and shipment record completion.
  • Monitor carrier updates, delays, delivery exceptions, and other shipment issues; coordinate returns, RMAs, warranty replacements, damage claims, and missing-package investigations through resolution.
  • Coordinate hardware requirements for client deployments, project rollouts, and go-live dates by reviewing requirements, schedules, hardware lists, deadlines, priorities, and outstanding work.
  • Track what has been received, prepared, assigned, shipped, and delivered; verify availability and readiness before deadlines and communicate or escalate deployment risks early.
  • Coordinate with Procurement, Technical Teams, Project Teams, vendors, carriers, and other stakeholders to resolve blockers and ensure client locations receive the correct equipment on time.
  • During larger deployments, coordinate available resources, assign preparation tasks, and verify the accuracy and completion of the overall work without direct management responsibility.
  • Communicate proactively with vendors, distributors, and carriers about availability, shipments, returns, replacements, and delivery issues; resolve routine issues independently and escalate unresolved risks.
  • Potentially assist with order placement, purchasing, or related procurement activities when needed.
  • Update ticketing, inventory, asset management, and operational tracking systems as work progresses; document RMAs, replacements, delivery confirmations, preparation status, and project updates.
  • Keep records accurate, complete, current, and audit-ready; review work for accuracy and follow up to obtain missing information.
