Hardware Preparation & Fulfillment Specialist

CubX Inc.•Lakewood, NJ
•$45,000 - $55,000

About The Position

This hands-on, technical, detail-oriented individual-contributor role oversees the full lifecycle of hardware, from receiving and inventorying equipment through configuration, assignment, shipment, and confirmed delivery. The specialist serves as an operational bridge between Procurement, Finance, Technical Teams, Vendors, Shipping Carriers, Clients, and other stakeholders to ensure equipment is prepared, documented, and delivered accurately and on schedule. The role requires working directly with equipment while managing assignments, deadlines, shipments, inventory, and project requirements. The specialist works independently, takes ownership of requests through successful completion, and identifies and resolves issues proactively. During larger client deployments, the role may coordinate available resources and preparation tasks for additional team members, but it has no direct people-management responsibility.

Requirements

  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Self-motivation and ability to work independently and drive work forward.
  • Strong sense of ownership and accountability.
  • Comfort handling and working directly with computer hardware and technology equipment.
  • Effective problem-solving skills and a proactive approach to issue resolution.
  • Ability to maintain accuracy in fast-paced or high-volume environments.
  • Strong written and verbal communication skills.
  • Ability to coordinate additional team members during larger projects, distribute tasks, and maintain visibility into preparation work without serving as their direct manager.
  • Ability to follow issues through to a clear and complete resolution.

Nice To Haves

  • Experience with hardware deployments, device provisioning, endpoint configuration, or IT asset management.
  • Experience maintaining inventory and asset tracking systems.
  • Experience supporting multi-site or large-scale technology deployments.
  • Familiarity with computer hardware, peripherals, networking equipment, or business IT environments.
  • CompTIA A+ certification or equivalent technical knowledge.

Responsibilities

  • Physically receive, unpack, inspect, and inventory equipment; verify it against orders, packing slips, and project requirements.
  • Maintain accurate inventory, serial number, asset tag, device assignment, and equipment-status records; perform counts and reconciliation and investigate discrepancies.
  • Allocate hardware to the appropriate clients, facilities, users, or projects, and monitor inventory against upcoming deployment requirements.
  • Identify missing, damaged, incorrect, or incomplete equipment and manage the issue through resolution.
  • Prepare, stage, image, enroll, and configure devices according to client requirements and company standards, including enrollment in Microsoft Intune, Autopilot, or other supported management platforms as required.
  • Apply asset tags and other identification; verify device assignments and configuration details, include required accessories and documentation, and test devices before marking them ready for deployment.
  • Own hardware movement from receipt through shipment and confirmed delivery; prepare and package shipments, create labels, and coordinate carrier pickups.
  • Verify fulfillment requests for accuracy and completeness, maintain shipment tracking, monitor carrier updates and delivery exceptions, and complete delivery records.
  • Coordinate returns, RMAs, warranty replacements, damage claims, and missing-package investigations through resolution.
  • Coordinate hardware preparation and fulfillment for client deployments, project rollouts, and go-live dates; review schedules, requirements, hardware lists, and delivery deadlines.
  • Organize preparation work by project priority and timeline, and track equipment received, prepared, assigned, shipped, delivered, and outstanding.
  • Identify and communicate deployment risks, including shortages, missing equipment, configuration gaps, shipping delays, and vendor constraints; escalate issues before they affect clients or timelines.
  • Coordinate with Procurement, Technical Teams, Project Teams, vendors, carriers, and other stakeholders to resolve blockers and ensure locations receive correct equipment on time.
  • During larger deployments, coordinate resources, assign preparation tasks, and verify completion while maintaining ownership of the overall outcome.
  • Communicate with vendors, distributors, and carriers about availability, shipments, returns, replacements, and delivery issues; follow up proactively, resolve routine issues, and escalate unresolved risks.
  • Potentially assist with order placement, purchasing, or related procurement activities when needed.
  • Update ticketing, inventory, asset management, and operational tracking systems as work progresses; document RMAs, replacements, delivery confirmations, preparation status, and project updates.
  • Keep records accurate, complete, current, and audit-ready; review work for accuracy and follow up to obtain missing information.
