About The Position

Pax8 is hiring a Hardware Lifecycle Coordinator in the United States (Denver, CO) to keep our hardware and application lifecycles running smoothly for a fast-growing, global workforce — with smart automation and data-driven planning at the core. This role is for someone who loves making complex, global operations feel effortless. You’ll be the operational engine behind how Pax8 equips people to do their best work — ensuring new starters get the right kit on time, devices flow cleanly through refresh and recovery, and lifecycle data stays accurate and audit-ready. You’ll do it in a company investing heavily in automation and AI-enabled workflows, meaning you’ll grow alongside modern tooling that reduces manual work and raises the bar for employee experience.

Requirements

  • Proven experience in IT hardware operations, asset management, service desk operations, logistics coordination, or technology lifecycle work.
  • Confidence partnering with third-party logistics providers and vendors — managing cadence, exceptions, and follow-through.
  • Demonstrated ability to translate workforce plans or hiring forecasts into inventory planning signals (reorder points, safety stock, regional allocation).
  • Strong understanding of secure end-of-life handling, including chain-of-custody and certified data destruction practices.
  • Working knowledge of ServiceNow (IT Service Management and CMDB), including maintaining configuration items and producing reports.
  • Advanced comfort with Excel and operational reconciliation — you enjoy finding mismatches and making the data clean.
  • Clear, structured documentation skills (runbooks, process notes, catalogs) that help distributed teams execute consistently.
  • Comfort supporting Software as a Service application workflows (intake, license tracking, catalog hygiene) in partnership with application owners.
  • Ability to occasionally handle and move IT equipment for receiving, inspection, staging, or shipping.
  • Must hold valid right to work in United States.

Nice To Haves

  • Familiarity with mobile device management concepts (such as Microsoft Intune or similar platforms) is a plus.
  • Exposure to Information Technology Infrastructure Library (ITIL) concepts — especially Asset, Configuration, and Request Management — is a plus.
  • A mindset that embraces AI-enabled productivity tools to streamline routine work while keeping quality high.

Responsibilities

  • Own the day-to-day coordination that keeps devices, software, vendors, and records moving in sync — across regions and time zones.
  • Run end-user hardware lifecycle operations across procurement, deployment, refresh, recovery, and end-of-life — keeping fulfillment predictable and reliable.
  • Coordinate global logistics workflows with third-party logistics partners, resolving day-to-day issues, tracking service levels, and escalating risks with clear evidence.
  • Turn hiring forecasts into inventory readiness by translating People Operations and Talent Acquisition signals into rolling regional demand plans, reorder recommendations, and safety stock insights.
  • Operate provisioning automation for new-hire kit selection — maintaining kit definitions, validating regional availability, and keeping workflows aligned to current standards.
  • Manage secure asset disposal with approved IT Asset Disposition partners — coordinating dispatch, chain-of-custody, certified data destruction, and recycling documentation.
  • Keep lifecycle records accurate by reconciling data between logistics platforms, disposal partners, and the Configuration Management Database (CMDB).
  • Support onboarding/offboarding handoffs with international service desk teams — ensuring clean processes, consistent runbooks, and reliable device recovery outcomes.
  • Support application lifecycle workflows by helping route requests, follow up on actions, track statuses, and keep an approved application catalog current (without owning approval decisions).
  • Produce operational reporting using Excel and ServiceNow — inventory levels, fulfillment performance, asset accuracy, and lifecycle metrics — then surface improvement opportunities.
