About The Position

The GTC Operations Support Specialist is responsible for assisting with the preparation of IRA statements, tax reporting, document imaging, and the distribution of all incoming/outgoing mail.

Requirements

Equivalent of four years in high school, plus night, trade extension, or correspondence school specialized training, equal to two years of college, plus 2 years related experience and/or training, or equivalent combination of education and experience.
Ability to read and understand simple instructions, short correspondence, notes, letters and memos; ability to write simple correspondence.
Ability to read and understand documents such as policy manuals, safety rules, operating and maintenance instructions, and procedure manuals; ability to write routine reports and correspondence.
Ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, clients, general public and other employees of the organization.
Ability to read, analyze, and understand general business/company related articles and professional journals; ability to speak effectively before groups of customers or employees.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to compute rate, ratio, and percent and to prepare and interpret bar graphs.
Ability to utilize common sense understanding in order to carry out written, oral or diagrammed instructions.
Ability to deal with problems involving several known variables in situations of a routine nature.
Intermediate: Word Processing/Typing
Basic: 10-Key, Accounting, Alphanumeric Data Entry, Spreadsheet
Must be able to understand the importance of detail and accuracy
Must be familiar with using imaging, mail postage machines and other computer related products
Must have strong communication, organizational and interpersonal skills
Must have the ability to remove staples, sort, file and box records
Must have the ability to read, analyze, and interpret business procedures, governmental regulations and training manuals
Must have the ability to write reports, business correspondence and procedure manuals
Must have the ability to apply mathematical operations to such tasks as frequency distribution, determination of test reliability and validity, analysis of variance, correlation techniques, sampling theory and factor analysis
Must have the ability to define problems, collect data, establish facts and draw valid conclusions
Must have proficiency in Microsoft Office, spreadsheets, accounting software, general ledger, accounts receivable, accounts payable, Internet and email

Responsibilities

Reviews and analyzes reports to ensure statements are generated correctly for statement cycles.
Reviews and analyzes reports to ensure tax preparation files are accurate.
Assists in the preparation of IRA statements and IRS tax reporting.
Prepares and scans hard copy files to electronic images, assures quality image and archives to imaging database.
Indexes documents after scanning.
Sorts and files all IRA, closed accounts and vault paperwork.
Sorts all incoming mail and deliver to appropriate personnel.
Generates and ensures outgoing mail files are accurate before releasing to printing vendor.
Prepares and posts all outgoing company mail.
Complete required BSA/AML training and other compliance training as assigned.
The ability to work in a constant state of alertness and in a safe manner.
Perform any other related duties as required or assigned.
