The Groups Coordinator is responsible for processing all reservation requests, changes, and cancellations. This role involves identifying guest needs, determining appropriate room types, verifying availability and rates, and explaining various policies. The coordinator will also accommodate special requests, answer questions about property facilities and services, and utilize sales techniques to maximize revenue. Key duties include communicating information about VIP reservations, inputting and accessing data in the reservation system, and resolving accommodation challenges by collaborating with other departments. The role also entails overseeing the accuracy of room blocks and reservations, inputting group rooming lists, adjusting room blocks as needed, maintaining organized files, and setting up billing accounts according to accounting policies. Additionally, the Groups Coordinator must adhere to all company policies and procedures, maintain a professional appearance and demeanor, protect company assets, and provide excellent guest service according to company standards. This includes welcoming and acknowledging guests, anticipating and addressing service needs, assisting individuals with disabilities, and expressing genuine appreciation. Effective communication, both verbal and written, is essential, as is the ability to develop and maintain positive working relationships and support team goals. The role requires compliance with quality assurance standards and the ability to read and verify information in various formats. Physical demands include moving, lifting, carrying, pushing, and pulling objects weighing less than or equal to 10 pounds without assistance. Reasonable job duties may also be requested by supervisors.
