The Groups Coordinator is responsible for processing all reservation requests, changes, and cancellations received via phone, fax, or mail. This role involves identifying guest reservation needs, determining appropriate room types, and verifying availability and rates. The coordinator will explain guarantee, special rate, and cancellation policies, accommodate and document special requests, and answer questions about property facilities and services. They will utilize sales techniques to maximize revenue, communicate information regarding designated VIP reservations, and input/access data in the reservation system. Additionally, this role addresses challenges in accommodating rooming requests by communicating with appropriate departments, oversees the accuracy of room blocks and reservations, inputs group rooming lists, revises room blocks to maintain availability, and keeps organized files of all groups. The position also involves setting up proper billing accounts according to Accounting policies. The role requires adherence to all company policies and procedures, maintaining a clean and professional appearance, protecting company assets, and providing excellent guest service according to company standards. This includes welcoming and acknowledging guests, anticipating and addressing service needs, assisting individuals with disabilities, and thanking guests with genuine appreciation. Effective communication, both verbal and written, is essential, as is developing and maintaining positive working relationships and supporting team goals. The role also involves complying with quality assurance expectations and standards, reading and visually verifying information, and performing other reasonable job duties as requested by Supervisors. Physical demands include moving, lifting, carrying, pushing, pulling, and placing objects weighing less than or equal to 10 pounds without assistance.
