About The Position

Assist the Group Sales---Director of Sales and Conference Services team with daily administrative duties and client communication.

Requirements

  • Proficiency with Microsoft Word, Excel, and Outlook
  • Experience with and understanding of Opera and Delphi
  • Able to work in a fast-paced environment, meeting deadlines and completing tasks as requested

Responsibilities

  • Act as lead catcher for all group inquiries and assign these to the correct Sales Manager
  • Enter inquiries and booking leads into Delphi, capturing all event and room block details
  • Complete RFPs in Cvent, LA Tourism, and additional booking platforms
  • Merge contracts and addendums, ensuring the room block and rates as well as all event space timing, location and pricing are accurate
  • Keep information in Delphi up to date to reflect changes and for proper forecasting
  • Answer client phone calls and inquiry emails in a professional manner
  • Generate reports including weekly GRC Reports, Booking Pace, Quarterly Breakdown
  • Enter reservations in Opera including traces, comments, cancellation policy, etc.
  • Coordinate billing and deposits for reservations and groups with Accounting department
  • Finalize expense reports for Sales Managers
  • Maintain files for VIP guests, producing a VIP resume and handling any special requests
  • Conduct competitive set calls as needed
  • Process requisitions and amenities
  • Process group turnover once group contracts are signed and deposit received
  • Assist with group resumes, amenities, and BEO’s
  • Cross support all assistants in Sales & Catering when needed
  • Assist in communicating key group details with other departments to ensure the success of group room blocks and events
