About The Position
The Group Rooms Coordinator manages group room blocks, reservations, inventory, and related communications at Skamania Lodge. Working with sales, conference planning, revenue optimization, group planners, guests, and internal teams, the coordinator helps ensure accurate group bookings, smooth execution, guest satisfaction, and revenue objectives. The role also supports leisure sales leaders with reporting and data analytics.
Requirements
- At least 1 year of hotel Front Desk, Reservations, or related hospitality experience, or a degree in Hospitality Management, Tourism, or a related field.
- Excellent computer skills, including Microsoft Office.
- Excellent verbal and written communication skills.
- Ability to work in a fast-paced setting.
Responsibilities
- Enter and manage group room blocks accurately using Delphi and PMS systems.
- Collaborate with the sales and conference planning team to oversee group inventory and manage planner expectations.
- Coordinate with the Director of Revenue Optimization to manage hotel inventory and group rates and maximize revenue.
- Serve as a primary point of contact for group planners, guests, and internal teams, ensuring accurate communication and seamless execution of group reservations.
- Lead weekly group pickup meetings to review and track group performance.
- Resolve guest concerns proactively to foster guest loyalty.
- Follow the Group Reservations Checklist and departmental standards.
- Monitor reservation deadlines and ensure group planners submit rooming lists on time.
- Review group contracts for accuracy in rates, dates, billing, and inventory, and confirm details such as rate agreements, room blocks, VIP arrangements, and special requests.
- Manage group housing requests and maintain accurate, organized booking records in Delphi.
- Monitor cutoff dates and release unused inventory as directed.
- Maintain accurate room inventory, availability, and room-type information between Delphi and PMS systems.
- Support the leisure sales team and leaders with reporting and data analytics.
- Apply sales and service techniques to support revenue objectives, guest satisfaction, and revenue opportunities.
