About The Position

Lead high-impact grants and contracts operations that help power innovative kidney research. As the Grants and Contracts Manager, you will serve as a strategic partner to faculty, division leadership, and administrative stakeholders, providing expert oversight of complex research portfolios while guiding process improvements, compliance, and financial stewardship. This role is ideal for a collaborative, solutions-oriented professional who can balance hands-on grant management with leadership, mentorship, and cross-functional coordination.

Reporting to the Division Administrator, the Grants and Contracts Manager oversees the Division of Nephrology’s research portfolio through advanced pre- and post-award grant management, financial analysis, and operational leadership. This role manages complex award activity, supports agreement execution, interprets sponsor and institutional requirements, and provides high-level guidance to faculty Principal Investigators, grants staff, and divisional leadership to support sound decision-making and long-term research strategy.

The Grants and Contracts Manager reviews monthly budgets, fund activity, general ledgers, projections, and variance trends, and works closely with faculty Principal Investigators and internal stakeholders to ensure accurate, compliant, and timely management of assigned awards. Responsibilities include leading subcontract oversight, budget development, sponsor reporting, compliance monitoring, closeout activities, and process improvements, while serving as a resource and mentor to grants team members.

Requirements

• Bachelor’s degree in business administration, finance, or related field, or an equivalent combination of education and relevant work experience
• 5 years of progressive experience in grants and contracts management
• Microsoft Office Word and Excel-Intermediate
• Strong analytical skills
• Good communication skills and attention to detail
• Knowledge of accounting principles and practices, sufficient to compile reports concerning financial status and operational procedures of organizations

Nice To Haves

• Masters preferred, ideally MPA, MPH, MHA
• experience in finance a plus

Responsibilities

• Liaison between faculty, grants managers of the NephroGrantsFinance team, external funding agencies (federal, state, local and nonprofit organizations), and internal offices including Grants & Contracts (GCO), Sponsored Projects Accounting, Finance, fund administrators and business managers.
• Support pre-award budget development, post-award monitoring, subcontract oversight, and grant closeout procedures. Manage documents such as Other Support, VA IPA (OF-69) agreements, MOUs, Faculty Research Effort Disclosures, and new vendor billing applications. Assist Grant Managers in timely routing of applications to relevant compliance committees (IACUC, IRB, Biosafety, FCOI).
• Maintain and enhance data in the Grants Tracking System. Distribute funding opportunity alerts as needed, shared NephroGrantsFinance calendar updates, and resource packets as needed, and may propose enhancements to existing internal systems.
• Analyze and present financial data to support budget planning and decision-making. Identify funding issues and propose solutions. Generate reports for PIs including forecasts, variance analyses, and spending trends.
• Process purchase orders, contracts, invoices, travel requests, check requests, fund transfers, and deposits. Ensure accurate allocation of expenses and check deposits and/or wires to appropriate funds.
• Manage salary source allocation transactions, internal personnel effort trackers, and annual time and effort reports. May assist the Administrative Coordinator to maintain payroll records for staff as needed.
• Coordinate and prioritize activities across multiple awards. Advise PIs on financial strategies and manage reporting for renewals, continuations, and closeouts.
• Contribute to divisional initiatives including business plan development and other strategic projects as assigned.
