About The Position

UC Irvine is a prestigious public university known for its academic achievement and research. The Samueli School of Engineering (SSoE) offers a variety of graduate programs leading to Ph.D. and M.S. degrees, as well as graduate professional master's degrees. The school currently enrolls approximately 1000 graduate students and aims to educate the next generation of global engineering innovators. The Office of Graduate Student Affairs (GSA) within the Samueli School of Engineering provides comprehensive services to prospective and current graduate students, including recruitment, admissions, counseling, funding, career development, and degree conferral. The office plays a crucial role in administrative support for academic processes and serves as a central point of contact for students, departments, and the Graduate Division.

Requirements

  • Financial acumen, with keen eye for financial details and ability to track, reconcile and account for expenditures and balances from a multitude of accounts.
  • Working knowledge of University Policies and procedures.
  • Working knowledge of applicable student laws - FERPA.
  • Strong aptitude for customer service supporting a diverse populations in and out of the university.
  • Experience with University systems and databases.
  • Experience working in a student-oriented environment, student affairs office, and/or higher education.
  • Prior Experience in one or more of the following: online communications (social media, websites), administrative support, financial services.
  • Bachelor's degree in related area and / or equivalent experience / training.
  • 1-3 years providing administrative support with a wide range of responsibilities.
  • Must be able to provide proof of work authorization.

Responsibilities

  • Provide general administrative support for the Office of Graduate and Professional Studies (GPS) and the Associate Dean.
  • Administratively support student services for current students, including internships, fellowships, commencement, and implementing funding packages.
  • Support services for prospective students, including admissions.
  • Update and maintain the GPS online website.
  • Respond to questions and inquiries addressed to GPS.
  • Communicate with graduate students, faculty, and all stakeholders.
  • Support GPS with general financial responsibilities, such as tracking financial commitments, matching financial packages, interfacing with Dean's Office finance for account and funding reconciliation, and tracking funding sources, expenditures, and balances.
  • Provide data tracking and analysis services for GPS, including maintaining records, pulling data from multiple sources (financials, student enrollment, program rankings, academic metrics, and analytics), and assisting with report preparation.
  • Coordinate GPS meetings and events from concept to administration and evaluation, including handling venues, catering, preparation of materials, flyers, commencement, and marketing communications.
  • Support GPS through overall organization of electronic and physical files, drives, office needs, purchasing, and reimbursement.
