About The Position

This position provides advanced administrative support to the Bureau of WIC Program Services. This position requires a high degree of initiative, independence, judgment, accuracy and understanding of office administration and general administrative principles. The Bureau has a need for increased clerical support particularly to assist in drafting travel authorization and reimbursements. Assisting with answering the bureau’s centralized telephone system and appropriately routing callers to bureau staff or responding to requests for information by the caller. Additional duties would include assisting with a variety of clerical functions in various units, such as processing incoming correspondence, maintaining office manuals, responding to email assignments, and communicating with WIC staff on updates and announcements.

Requirements

  • Knowledge of administrative and clerical procedures and systems.
  • Knowledge of standard business formats and styles for letters and business forms.
  • Knowledge of methods of data collection and analysis.
  • Knowledge of problem solving techniques.
  • Knowledge of principles of correct spelling, grammar and punctuation.
  • Knowledge of principles and techniques of effective communication.
  • Knowledge of basic WIC program policies and procedures.
  • Skill in the use of microcomputers and standard software programs including word processing and basic spreadsheet applications.
  • Ability to perform basic arithmetical calculations.
  • Ability to prepare correspondence and administrative reports.
  • Ability to organize files and other records.
  • Ability to operate general office equipment.
  • Ability to handle telephone calls in a courteous and effective manner.
  • Ability to understand and apply rules, regulations, policies and procedures.
  • Ability to think critically.
  • Ability to collect, compile, and analyze data for reports and administrative decisions.
  • Ability to organize data into logical format for presentations, reports, documents and other written and audiovisual materials.
  • Ability to review data and work for accuracy and completeness.
  • Ability to solve problems.
  • Ability to plan, organize, prioritize and coordinate work assignments to ensure timely completion of quality, accurate work products.

  • Must be willing to physically come in the office to perform the duties & responsibilities of the position.
  • Must be able to learn and communicate effectively, orally and in writing, in English.
