About The Position

Performs duties independently and exercises judgment to coordinate activities of the Medicine and Pediatrics Graduate Education Committee. Responsible for ensuring appropriate documentation is received, accurately entered into applicable database systems, disseminated accordingly, and is maintained for assigned activities (e.g., trainee appointments, disciplinary actions, proposals for new off campus rotations, accreditation letters of notification, annual program evaluations, complement changes, ACGME Resident and Faculty Surveys, and special reviews). Synthesizes documentation received to prepare assigned Committee agenda discussion, approval, and notation items. Develops and maintains an understanding of graduate medical education institutional and program accreditation requirements, board eligibility requirements, other regulations, and MCSGME and Mayo Clinic policies as applicable to trainees and training programs. Provides guidance, advice, and serves as a resource to MCSGME residency and fellowship physician program directors, coordinators, and appointed trainees. Interprets and enforces established regulatory and accreditation standards and MCSGME and Mayo Clinic policies applicable to training programs and to trainees. Utilizes strong organizational skills to handle many activities and challenges simultaneously with minimal direction. Uses good judgment in facilitating questions, phone calls, meeting scheduling, and other assignments. Attends courses and meetings to enhance or improve job knowledge within the role or to represent Mayo Clinic. This position is a combination of remote and on-site work; individual must live within a 100 mile driving distance to the Rochester Mayo Clinic campus. Visa sponsorship is not available for this position. Also, Mayo Clinic DOES NOT participate in the F-1 STEM OPT extension program.

Requirements

  • Bachelor's degree in communications, health administration, business management or business/health related degree with a minimum of four years of administrative experience in an academic and/or healthcare field OR associate degree with a minimum of six years administrative experience in an academic and/or healthcare field.

  • Proven documentation skills with strong attention to detail.

  • Must develop and maintain mastery of policies and procedures related to graduate medical education, training programs, and trainees.

  • Self-starter with ability to take initiative to solve problems and improve processes.
  • Excellent time management skills with proven ability to develop timelines, shift priorities, and multitask.
  • Adaptable and flexible in a changing work environment.
  • Must maintain strict confidentiality of information.
  • Ability to work collaboratively and professionally to build rapport with others at all levels of responsibility.
  • Broad-based knowledge and proficiency in computer software applications including word processing, spreadsheet, database, electronic calendaring/scheduling systems, and web-based applications.

Nice To Haves

  • Prior experience at Mayo Clinic providing academic program management preferred.
  • Familiarity with medical licensure and visa categories is preferred.
