About The Position

The Genetic Counseling Administrative Coordinator is a high-level administrative professional who plays a critical role in supporting the genetic counseling team. They ensure efficient coordination of patient and clinic-related activities by maintaining clear communication channels between internal teams and external stakeholders. This position is responsible for a wide range of administrative functions, including review of submitted referral documentation, triaging inbound phone calls, serving as a primary point of contact for patients and clinic partners, responding to general inquiries, and scheduling patient genetic counseling consultations.

Requirements

  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Ability and willingness to quickly learn and adapt to new systems and technologies.
  • Excellent verbal and written communication skills with strong attention to detail.
  • Strong teamwork, interpersonal, and organizational skills.
  • Ability to work independently, prioritize, and work under deadlines.
  • High School Diploma required
  • Willingness to complete a Genetic Counseling Assistant course after approximately 1 year of successful service.

Nice To Haves

  • Prior experience within a genetics or healthcare setting strongly preferred.
  • Familiarity with basic interpretation of genetic testing results is highly desirable.
  • Experience with Laboratory Information Systems (LIS) and/or Electronic Medical Records (EMR) systems preferred.
  • Bachelor’s degree strongly preferred

Responsibilities

  • Reviews submitted documentation and external genetic testing reports to ensure accuracy, completeness, and inclusion of required information. Requests additional or revised documentation when necessary to meet internal standards.
  • Manages day-to-day scheduling operations for genetic counseling appointments, ensuring systems reflect complete and accurate patient demographic information and meet departmental KPIs
  • Sets clear expectations with patients regarding genetic counseling sessions, including providing a high-level overview of session content and required preparation.
  • Distributes scheduling notifications to partner clinics and independently responds to related inquiries or escalates as appropriate.
  • Serves as a primary point of contact for patients, partner clinics, and internal CooperSurgical stakeholders for routine questions related to genetic counseling workflows and general CooperSurgical processes (e.g., enrollment, consent, billing, and high-level laboratory processes).
  • Independently manages routine inquiries, ensuring accurate, professional, and efficient communication.
  • As business needs dictate, works extended hours to complete daily department goals or tasks to include mandatory overtime.
