About The Position

The Front Office Manager is responsible for the operation of the front office, including customer interface; day-to-day management of the point-of-sale payment, registration, and reconciliation functions; and general office administration duties. This position has primary responsibility for presenting a strong customer service orientation and maintaining high customer satisfaction.

Requirements

  • Experience working in a multi-person office environment or equivalent
  • Strong oral and written communication skills, detailed orientation, and effective problem-solving skills
  • Able to handle fast-paced environments and effectively prioritize and execute multiple competing needs
  • Highly coachable team player with a strong work ethic and desire to build a career in professional sports
  • Must be able to work early mornings, late nights, weekends, and holidays
  • Ability to move about a large facility, including ascending/descending two floors of offices and amenities
  • Ability to install, remove, replace, and transport items weighing up to 25 pounds

Responsibilities

  • As directed by the Assistant General Manager, assist with adding new programs to the point-of-sale system for purchase
  • Monitor website to ensure it accurately reflects the totality of our programming; communicate with department heads and managers regarding the need for updates and corrections
  • Assist other department heads as directed by the Assistant General Manager, including monitoring customer payment plans to keep them current, answering phone calls, and creating/updating locker room schedules as needed
  • Assist in planning, forecasting, and achieving key metrics in the annual budget
  • Responsible for hiring, training, scheduling, and oversight of all front office associates and ice guards; ensure front office personnel consistently follow all policies and procedures, including creating training manuals for each department and scheduling bi-annual First Aid and CPR training for all staff to remain compliant
  • Direct responsibility for managing cash on hand, cash reconciliations, and daily deposits
  • Use point-of-sale system to register and take payments for all programs; assist with booking birthday parties, field trips, and other group events
  • Collaborate with different departments to plan and execute rink events and activities
  • Answer incoming phone calls and act as a conduit to ensure all customers receive accurate information; forward calls as appropriate and follow up with all messages left ideally within 24 hours but no more than 48 hours
  • Send and respond to customer emails ideally within 24 hours but no more than 48 hours
  • Become intimately familiar with the details of upcoming programs, camps, and events, and all internal resources available to obtain information outside of your realm of knowledge
  • Operate office machines including, but not limited to, photocopiers and scanners, Point of Sale system, Microsoft Suite programs, and other computer programs
  • Regularly inventory office uniforms and order front office supplies
  • Serve as Manager on Duty as schedule dictates
  • Other duties as assigned
