Requirements

  • 5 years with BS/BA, 3 years with MS/MA, or 0 years with PhD; additional work experience may be substituted for degree
  • TS/SCI clearance with poly required
  • Executive-level administrative support and complex calendar management
  • Advanced proficiency in Microsoft Office Suite
  • Experience with customer's business and knowledge management systems
  • Exceptional organizational skills with ability to manage multiple complex, concurrent tasks
  • Strong analytical thinking and problem-solving abilities
  • Excellent written and verbal communication skills with ability to draft professional correspondence
  • Professional demeanor and ability to handle sensitive information appropriately
  • Strong interpersonal skills with ability to coordinate effectively across organizational boundaries

Responsibilities

  • Answer phones, greet visitors, and provide professional front desk support
  • Process incoming/outgoing mail and operate standard office equipment
  • Manage office supply procurement and facility access requests
  • Create and maintain email distribution groups
  • Provide calendar management support for senior leadership
  • Coordinate complex scheduling across multiple stakeholders and navigate conflicts
  • Manage meeting logistics including conference rooms and visitor coordination
  • Prepare and distribute meeting materials and comprehensive meeting notes
  • Draft, edit, and finalize memos, letters, and formal correspondence
  • Coordinate space management activities and maintain utilization metrics
  • Organize and maintain electronic filing systems ensuring historical documentation accessibility
  • Maintain consolidated tracking files for organizational highlights and accomplishments
  • Manage recognition programs and track deliverable completion
  • Coordinate domestic and international travel arrangements
  • Plan organizational events including orientations, all-hands meetings, and recognition ceremonies
  • Develop standard operating procedures for administrative processes
