Requirements

  • High school diploma or General Education Degree (GED) required.
  • Minimum of one (1) year of office or administrative experience required.
  • Strong organizational, communication, and customer service skills.
  • Ability to maintain confidentiality and manage multiple tasks in a fast-paced environment.

Nice To Haves

  • Proficiency in Microsoft Office Suite and experience with Electronic Health Record (EHR) systems preferred.

Responsibilities

  • Greet and assist clients in a friendly, respectful, and professional manner as the first point of contact.
  • Manage client check-in processes and verify insurance eligibility through the EVS system.
  • Notify counselors and psychiatrists of client arrivals using the Electronic Health Record (EHR) system.
  • Answer incoming calls, document client interactions, and relay messages accurately.
  • Schedule and confirm appointments, including conducting reminder calls.
  • Assist walk-in clients and notify appropriate staff.
  • Provide limited information and referrals in accordance with agency procedures.
  • Maintain organized front office operations, including filing, copying, and general clerical support.
  • Assist with maintaining orderly office and shared spaces.
  • Perform data entry and maintain accurate records in required systems.
  • Support daily office operations and complete additional administrative tasks as assigned.
  • Follow established closing procedures to maintain workplace safety and security.
  • Report unusual incidents in accordance with agency emergency procedures.
  • Participate in quality improvement initiatives and team activities.
  • Attend staff meetings, trainings, and ongoing professional development.
  • Maintain and enhance job-related skills, including cultural competency and sensitivity to diverse populations.
