About The Position

The Front Desk Receptionist will provide quality reception as the first point of contact for staff and visitors to the National Ministries. The Receptionist welcomes staff and visitors, receives and transmits telephone calls and messages, including electronic communications. Performs a variety of other hospitality-related services.

Requirements

  • High school diploma or equivalent required
  • 2-3 years as front desk receptionist.
  • Solid written and verbal communication skills.
  • Excellent customer service, organizational, and multitasking skills.
  • Professional demeanor and appearance.
  • Desire and sensitivity to work in diverse racial, ethnic, cultural and religious setting with commitment to pluralism in the workplace as well as in one’s understanding of mission.
  • Understanding of the need to protect sensitive and confidential information.
  • Basic understanding of administrative and clerical procedures and systems.
  • Proficient with Microsoft Office Suite or related software.
  • Willingness to learn new innovative technology and office systems (e.g., automated check-in solutions).

Responsibilities

  • Represents the United Church of Christ National Ministries in a courteous and professional manner, demonstrated through demeanor, appearance, and attitude.
  • Welcomes staff and guests in a professional and friendly manner.
  • Ensure that the reception desk is staffed during breaks, lunch and planned absences.
  • Directs or escorts guests to the appropriate location and ensure that security protocols are followed, such as signing in and receiving a name badge.
  • Answers, screens, and directs calls coming into the main phone line to staff; takes messages and schedules appointments.
  • Ensures the main phone system is updated and maintained with a professional greeting
  • Create a tracking system to schedule and manage conference room (rooms A, B and C) reservations.
  • Creates attendance reports for HR and forwards to [email protected] .
  • Manage the Building Services requests through Visitt scheduler.
  • Ensure that coffee, tea, and condiments are stocked in the kitchen areas.
  • Monitor expiration dates.
  • Monitor trash cans in main areas and notify building maintenance when need of servicing during events
  • Monitor monthly maintenance (cleaning) of ice machine in staff lounge.
  • Maintain inventory of janitorial supplies and re-order as needed.
  • Ensure that restrooms have soap, toilet paper and paper towels.
  • Create name badges as needed for in-house events.
  • Serves as first responder for emergencies in the office as per Floor Marshal assignment.
  • Adheres to safety procedures and manages inner office access via the reception desk (monitors visitor log, issues visitor badges).
  • Ensures reception area is tidy and presentable at all times.
  • Receives mail and courier deliveries and delivers or distributes items.
  • Adheres to new office emergency, safety and building protocols
  • Performs other administrative and support tasks as assigned
  • Attend and contribute to the HoMES team meetings.
  • Occasional work hour adjustment if needed for special events (i.e. arriving earlier than regular schedule)
  • Other duties as assigned
