About The Position

Standard Bots is seeking a Front Desk & Facilities Coordinator to support the day-to-day operations of their factory and office. This role is responsible for being the first point of contact for visitors, managing vendor check-ins, and ensuring the smooth operation of the building, kitchen, and meeting rooms. The position also provides administrative support to manufacturing leadership, assisting with scheduling, logistics, and coordination. This is a hands-on, highly visible role for someone who is organized, dependable, and enjoys variety in their daily tasks. The role reports to the Facilities Manager and collaborates closely with manufacturing leadership.

Requirements

  • 3+ years of experience as a facility administrator, office administrator, administrative assistant, receptionist, or coordinator.
  • Experience ideally in a manufacturing, warehouse, lab, or similarly hands-on environment.
  • Ability to juggle multiple small tasks simultaneously and maintain attention to detail.
  • Clear, friendly written and verbal communication skills.
  • Comfort with G Suite (Gmail, Calendar, Drive, Docs, Sheets), Slack, and basic expense/invoice tools.
  • Dependable, organized, and able to follow through on tasks independently.

Nice To Haves

  • Experience in a manufacturing, robotics, or hardware startup environment.
  • Familiarity with shipping/receiving workflows, PPE inventory, or facility compliance basics (OSHA postings, first aid).
  • Experience supporting recruiting and interview coordination.
  • Basic event setup and catering coordination experience.

Responsibilities

  • Greet visitors, customers, candidates, and vendors, managing the visitor sign-in/NDA process and badge issuance.
  • Schedule and prepare meeting rooms, ensuring they are clean, stocked, and AV-ready.
  • Set up and clean up for weekly celebrations, all-hands meetings, and team events, including catering orders and cleanup.
  • Coordinate day-to-day facility services such as utilities, cleaning crew, HVAC, and vendors, under the direction of the Facilities Manager.
  • Process payments for utilities and facility vendors, track invoices, and submit them to finance.
  • Receive, sort, and distribute mail and packages, and coordinate shipping/receiving at the loading dock.
  • Maintain stock of office supplies, snacks, beverages, coffee, and paper goods in the office and kitchen areas.
  • Provide administrative support to manufacturing leadership, including calendar management, scheduling, travel booking, and expense reports.
  • Assist in coordinating small-lot purchases, vendor meetings, and visitor tours of the manufacturing area.
  • Ensure PPE (safety glasses, gloves, ear protection) is stocked and accessible to shop-floor staff.
  • Coordinate interview logistics, including room booking, candidate greeting, escorting, lunch orders, and interviewer preparation.
  • Support new-hire onboarding processes, including workstation setup coordination, welcome kits, and building tours.
  • Assist with offboarding logistics, such as badge deactivation and equipment return coordination.
  • Maintain required postings (OSHA, labor law), stock first aid kits, ensure AEDs are functional, and emergency signage is visible.
  • Support fire drills and safety walks, and assist in compiling documentation for audits.
  • Maintain the list of approved vendors and emergency repair contacts.
  • Assist with small office projects, including seasonal décor, swag orders, desk setups, and ambiance upgrades.
