About The Position

We are seeking a friendly, organized, and dependable Front Desk Assistant to join our busy property management office. This position is the first point of contact for residents, prospective residents, vendors, and visitors. The ideal candidate is professional, customer-service oriented, comfortable multitasking, and able to remain calm and helpful in a fast-paced office environment.

Requirements

  • Previous experience in customer service, reception, office administration, property management, or a related field preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize and manage multiple tasks in a busy environment.
  • Professional, courteous, and service-oriented demeanor.
  • Comfortable answering phones and interacting with a wide range of people.
  • Basic computer skills, including email, Microsoft Office, and data entry.
  • Ability to learn property management software and company procedures.
  • Dependable, punctual, and able to work effectively as part of a team.

Nice To Haves

  • Previous experience in a property management, apartment leasing, real estate, or housing office.
  • Familiarity with maintenance requests, resident accounts, leases, and rental office procedures.
  • Experience working in a high-volume customer service environment.

Responsibilities

  • Greet residents, prospective residents, vendors, and visitors in a professional and welcoming manner.
  • Answer and direct incoming phone calls, emails, and general inquiries.
  • Assist residents with questions, requests, and routine concerns, escalating issues to the appropriate team member when necessary.
  • Schedule appointments, property tours, inspections, and service calls.
  • Receive, sort, and distribute mail, packages, notices, and other office correspondence.
  • Maintain an organized and professional reception area and front office.
  • Assist with processing applications, lease paperwork, resident forms, and other property management documents.
  • Enter and update information accurately in property management software and office systems.
  • Coordinate with maintenance staff, property managers, vendors, and other office personnel.
  • Help track maintenance requests and communicate updates to residents as directed.
  • Collect and process routine payments or documents according to company procedures.
  • Assist with filing, scanning, copying, data entry, and other administrative tasks.
  • Maintain confidentiality of resident, applicant, and company information.
  • Provide general administrative support to the property management team as needed.
