About The Position

Responsible for all front desk, administrative, insurance, scheduling, billing, and office operations. This role involves greeting and checking in patients, answering phone calls, managing appointments, verifying insurance, collecting payments, and maintaining accurate patient records. The position also supports back-office functions such as treatment plan coordination, insurance claim submission, and supply management. The Front Desk Administrator will ensure compliance with HIPAA and office policies, and handle general office duties.

Requirements

  • 3+ years working a front desk at a dental office
  • Previous experience in a dental office required
  • Knowledge of dental terminology, procedures, and insurance processes preferred
  • Expert with dental practice management software - Dentrix
  • Strong customer service and communication skills
  • Excellent organizational and multitasking abilities
  • Proficiency in Microsoft Office and basic computer applications
  • Ability to work independently and manage multiple priorities
  • Friendly and professional demeanor
  • Detail-oriented and dependable
  • Strong problem-solving skills
  • Team player with a positive attitude
  • Ability to maintain confidentiality and professionalism at all times

Responsibilities

  • Greet and check in patients in a professional and friendly manner
  • Answer incoming phone calls and respond to patient inquiries
  • Schedule, confirm, and reschedule patient appointments
  • Verify insurance eligibility and benefits
  • Collect co-pays, balances, and payments from patients
  • Maintain accurate patient records and update information as needed
  • Manage appointment reminders and follow-up communications
  • Coordinate patient flow to ensure an efficient schedule
  • Assist with treatment plan coordination and patient education
  • Submit insurance claims and follow up on outstanding payments
  • Prepare and organize patient charts and documentation
  • Manage referrals, records requests, and correspondence
  • Order office and clinical supplies and maintain inventory levels
  • Support dentists and clinical staff with administrative tasks
  • Ensure compliance with HIPAA and office policies
  • Handle general office duties such as filing, scanning, faxing, and data entry
