About The Position

The Front Desk Administrator will be responsible for a variety of administrative tasks within the Occupational Medical Clinic (OMC) at Brookhaven National Laboratory. This role involves direct scheduling of physical exams for specific departments, ensuring compliance with mandatory exam timelines, preparing patient charts, managing appointments, and handling general office duties such as answering phones and greeting visitors. The administrator will also be involved in quality assurance for medical records and coordinating appointments with external vendors. A key aspect of the role includes interpreting employee training needs by accessing internal systems and ensuring medical information is complete and up-to-date.

Requirements

  • Extensive knowledge of medical surveillance requirements in conjunction with job title requirements.
  • Associate’s degree in business, Human Resources or related field or equivalent experience, generally on the basis of 2:1 (experience: college years).
  • Previous work experience, (such as internships and summer employment), in a hospital or clinical setting.
  • Strong computer skills in Microsoft Office Suite.
  • Demonstrates competency in all areas of Medical Records, especially in the areas of medical record completion and analysis.
  • Ability to interact with individuals from diverse levels and provide excellent service.
  • Excellent communication (oral and written), interpersonal, organization and customer service skills.
  • Strong attention to detail.
  • Ability to consult with professionals at all levels within the Laboratory.
  • Must be discrete and able to maintain confidentiality of employees’ personal information and/or work assignments.

Nice To Haves

  • Knowledge of Medical Terminology and Anatomy.
  • Experience in an ambulatory setting with primary responsibility for maintaining document requirements.
  • Previous experience with electronic health records preferred.
  • Bachelors’ Degree

Responsibilities

  • Directly schedule physical exams for specific BNL departments.
  • Ensure all mandatory exams are scheduled prior to expiration.
  • Prep charts for next day appointments and schedule appointments.
  • Run reports, scan documents, and filing of medical information.
  • Answer phone calls, greet office visitors, and keep track of appointments and waiting time for visitors.
  • Categorize appointment needs based on information provided by the employee.
  • Interpret employee training needs by access to BNL’s internal training and qualifications system.
  • Perform quality assurance checks to ensure medical information is complete and certify current employee medical information such as job assessment forms are up to date.
  • Schedule appointments with outside vendors for preplacement physicals.
