About The Position

Founded in 2012, we’re revolutionizing the real estate industry with our end-to-end platform that empowers residential real estate agents to deliver exceptional service to seller and buyer clients. This is a full-time, in-office role based out of multiple @properties offices in Chicago, IL. The schedule for this role is Thursday through Monday, with Tuesdays and Wednesdays off. Monday, Thursday, and Friday hours are 8:30 AM – 5:00 PM (including a 30-minute unpaid break). Saturday and Sunday hours start at 7:30 AM to complete a full 8-hour shift (including a 30-minute unpaid break), with the office open to the public from 9:00 AM – 4:00 PM. As a Front Desk Administrator, you will operate a multiline telephone system, greet customers and visitors, and support office staff.

Requirements

  • 1-2 years of related experience
  • High school diploma or GED

Responsibilities

  • Welcome on-site visitors, determine the nature of their business, and announce visitors to appropriate personnel.
  • Answer incoming telephone calls, determine the purpose of callers, and forward calls to the appropriate personnel or department.
  • Answer questions about the organization and provide callers with address, directions, and other information as necessary.
  • Perform basic searches, updates, and audits in the Multiple Listing Service (MLS).
  • Work on specific projects assigned weekly, monthly, and quarterly.
  • Create recruiting packets, listing/buyer packets, and update form drawers.
  • Create and maintain schedules.
  • Support Agents by answering questions and providing training related to technology and communicating office procedure information.
  • Provide information about MLS, rentals and tenant screening, marketing, IT, and direct agents to the appropriate department when needed.
  • Receive, sort, and route mail, maintain and route publications, communicate with the messenger service, and coordinate inter-office deliveries.
  • Maintain fax machines, assist users, send faxes, and retrieve and route incoming faxes.
  • Perform other clerical duties as needed, including maintaining files, photocopying, scanning, and collating.
  • Order office and kitchen supplies.
  • Perform daily cleaning duties throughout the office, including the kitchen and bathrooms.
  • Restock supplies throughout the office and take weekly inventory.
  • Perform other duties and projects as assigned.
