About The Position

The Fleet Support Specialist provides administrative, technical, and coordination support across all areas of fleet and asset management. This primarily office-based role works closely with Fleet Operations, cost center supervisors, operations managers, and vendors to ensure vehicle data accuracy, regulatory compliance, and efficient fleet utilization throughout the organization. The position serves as the first point of contact for fleet questions and issues, resolving most needs remotely through fleet systems, vendors, and field leadership, with periodic travel.

Requirements

  • Bachelor’s degree in Business or related field preferred
  • 2–4 years of administrative or operations support experience, preferably within fleet, logistics, or asset management.
  • Submit to and satisfactorily complete pre-employment background, medical, alcohol, and drug screening
  • Must possess a valid Driver’s License
  • Strong proficiency in Microsoft Excel and familiarity with fleet management systems (e.g., Holman, Geotab)
  • Exceptional organizational and time management skills with a high attention to detail.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Strong communication and interpersonal skills for working with field staff, vendors, and management.

Responsibilities

  • Maintain fleet management databases by adding new vehicles, processing on-rents/off-rents, and terminating units as they leave service.
  • Upload and maintain vehicle data, registration documents, photos, and compliance materials in fleet systems such as Holman and Geotab.
  • Track on-rent/off-rent activity to ensure timely system updates and accurate reporting.
  • Administer fuel programs, including issuing, suspending, and terminating fuel cards and driver PINs; audit fuel transactions as requested.
  • Manage NFC/driver ID assignments in Geotab, including issuing and reissuing NFC stickers.
  • Maintain vehicle documentation such as registrations, IFTA/cab cards, insurance cards, and inspection certificates; monitor expiration dates and coordinate renewals or replacements.
  • Monitor and respond to the shared fleet inbox, prioritizing urgent requests from the field.
  • Schedule and track preventive maintenance (PM) cycles and tire rotations to ensure vehicle readiness.
  • Coordinate tire replacements, general repairs, roadside assistance, and towing through Holman and approved vendors.
  • Review check-in/check-out sheets and photos for on-rented and off-rented vehicles to confirm condition and completeness of documentation.
  • Validate wear, tear, and damage claims; coordinate repairs and follow-up actions with vendors and field leadership.
  • Ensure vehicles carry current compliance materials (registrations, IFTA/cab cards, insurance) and required safety equipment such as fire extinguishers and first aid kits.
  • Support internal compliance programs, including KPA assignments, and maintain alignment with company standards and regulatory requirements.
  • Coordinate vehicle retrievals, relocations, deliveries, and reassignments with cost center supervisors, operations managers, transport providers, and vendors.
  • Use Geotab telematics to locate missing or idle vehicles and work with field leadership to recover or reposition them.
  • Provide first-line remote support to drivers and managers for fuel card issues, vehicle lockouts and spare keys, breakdowns, and telematics/NFC-related issues.
  • Support accident and incident response by providing current insurance, registration, and vehicle details to Safety, field operations, and corporate fleet.
  • Arrange temporary or replacement units as needed.
  • Prepare reports, Geotab driver audits, fuel transaction reviews, and utilization analyses.
  • Maintain consistent communication with regional managers, cost center supervisors, site leads, and vendors to resolve discrepancies and sustain operational flow.
