About The Position

We are seeking a Fleet & Safety Administrator to support fleet operations, driver compliance, and safety programs. This role is responsible for maintaining accurate records, tracking maintenance and inspections, and supporting DOT compliance and claims documentation.

Requirements

  • 1-2 years of administrative experience in fleet, transportation, logistics, or safety
  • Proficient in Microsoft Excel, Word, and Outlook
  • Strong organizational skills and attention to detail

Nice To Haves

  • Experience with fleet management systems or compliance tracking preferred
  • Basic knowledge of DOT regulations and driver qualification files preferred

Responsibilities

  • Maintain fleet records (VINs, unit numbers, titles, registrations, permits)
  • Track preventive maintenance, inspections, and service schedules
  • Manage Driver Qualification (DQ) files in compliance with DOT regulations
  • Track driver documents (CDL, medical cards, MVRs, background checks)
  • Maintain safety training and certification records
  • Assist with audits, compliance reviews, and regulatory inspections
  • Support accident/incident reporting and claims tracking
  • Maintain spreadsheets and reports for fleet and safety data
  • Coordinate with branch managers and operations teams
