About The Position

We are seeking a highly organized and proactive Fleet Maintenance & Transportation Coordinator to oversee the daily management, maintenance coordination, and operational support of a growing fleet operation consisting of 150+ vehicles and 15–20 interstate drivers. This role is responsible for helping ensure fleet reliability, DOT/FMCSA compliance support, preventative maintenance scheduling, driver coordination, and minimizing downtime across the operation. The ideal candidate must be able to stay organized in a fast-paced environment while communicating effectively with drivers, vendors, and internal departments.

Requirements

  • Previous experience in fleet management, transportation coordination, dispatching, or trucking operations
  • Strong understanding of FMCSA and DOT regulations
  • Familiarity with ELD systems and Hours of Service requirements
  • Experience coordinating preventative maintenance programs
  • Ability to manage multiple priorities and urgent situations simultaneously
  • Strong communication and organizational skills
  • Proficiency with fleet management software, spreadsheets, and operational reporting
  • Experience working with interstate commercial drivers preferred
  • CDL knowledge or transportation industry background strongly preferred

Responsibilities

  • Coordinate preventative maintenance schedules for fleet vehicles
  • Analyzing and optimizing ongoing expenses of the vehicles, including fuel, insurance, and depreciation
  • Manage and track vehicle repairs, breakdowns, and service records
  • Schedule and coordinate interstate driver assignments and coverage
  • Monitor fleet readiness and vehicle uptime
  • Maintain organized DOT/FMCSA-related records and documentation
  • Assist with Hours of Service (HOS) and ELD compliance oversight
  • Coordinate annual inspections, registrations, permits, and licensing requirements
  • Work directly with vendors, repair facilities, and service providers to be able to negotiate and ensure the best rates on parts, fuel cards, and maintenance.
  • Monitor driver concerns related to equipment and fleet issues
  • Assist with accident documentation and reporting procedures
  • Help ensure compliance with company safety policies and FMCSA regulations
  • Maintain maintenance logs, PM schedules, and fleet tracking systems
  • Communicate proactively with management regarding fleet status and operational concerns
  • Mitigate liability through driver training, safety programs, and regular documented vehicle inspections
